Job Description: Operations Manager Company: GrowthKind Location: Remote (UK-based), with quarterly strategy days in London The Mission GrowthKind is a premium, founder-led retained search firm specialising in senior marketing leadership appointments for high-growth UK D2C, consumer technology, fintech and SaaS scale-ups. Our ambition is to become the leading boutique search firm for Chief Marketing, Commercial and Growth Officers, empowered by a community of world-class marketing and digital leaders. We are early in our journey but tracking significantly ahead of our first-year revenue target. The team today is Rowan (Founder), Nikki (Head of Talent, leading standard searches), and Gina (Search Delivery, Marketing & Events). The Role As Operations Manager, you are the engine room that keeps GrowthKind running smoothly day to day. You own the Founder's diary, inbox triage, travel, the business's financial admin, and the back-office logistics behind our community events - freeing Rowan, Nikki and Gina to spend their time on search delivery, client relationships and growing the brand. This is a back-office and executive support role. Your job is to make sure nothing falls through the cracks: bills get paid on time, meetings get booked and don't clash, rooms get sorted, receipts get reconciled, and the Founder's diary protects the time he needs for business development and deep work. If this seat is filled well, it directly unlocks capacity for the rest of the team to focus on revenue-generating work, without sacrificing the white-glove standard GrowthKind is known for. About You We believe the right attitude and transferable skills carry as much weight as direct industry experience. This role is less about what you have done before, and more about who you are. You are calm, organised and proactive. You find energy in creating order from chaos, and you can hold multiple workstreams in your head without dropping a thread. You are a natural operator and systems-thinker. Your instinct is not just to complete a task, but to ask "how do we make this more efficient next time?" You have a meticulous eye for detail - a wrong invoice number, a miscommunicated venue address or a clashing diary invite all matter to you because they reflect on the brand. You are an excellent written communicator. You can draft a routine email under the Founder's name confidently and consistently in his tone of voice, and you know exactly when something needs to be escalated rather than answered. You are discreet and trustworthy. You'll have visibility of a founder's inbox, financial information and confidential search details, and you treat all of it accordingly. You are tech-savvy and pick up new platforms quickly - you'll work across Xero, Hubdoc, Atlas, Luma, Google Workspace and Claude. You do not need to know all of these on day one, but comfort with AI tools is essential, since a lot of this role is about training and refining AI-assisted workflows (drafting replies, triaging inboxes, documenting SOPs), not just doing the task manually every time. You are commercially minded. You understand when a decision needs the Founder's sign-off (anything strategic, sensitive or a meaningful spend) and when it doesn't (a routine venue booking, a subscription renewal within budget). Key Responsibilities Founder support: inbox, diary & travel Monitor and triage the Founder's inbox daily. Draft routine replies in his tone of voice; flag time-sensitive, strategic or high-value items for his direct attention rather than answering them yourself. (Candidate and client correspondence tied to a live search stays with whoever is leading that search.) Manage the Founder's calendar end to end: book, move and reconfirm meetings, resolve last-minute diary clashes, and keep recurring commitments (weekly team check-ins, community events, client catch-ups) on track. Protect the Founder's business development and deep-work time blocks in the diary - make sure they don't get eaten into by other bookings. Book and manage all travel - plus restaurant and coffee reservations for candidate, client and community meetings. Finance & operations admin Own the Xero/Hubdoc receipt and expense process; reconcile Amex card transactions; chase and file missing receipts. Issue client invoices, chase overdue invoices, and act as the point of contact for the accountant on monthly bookkeeping. Process charitable donations and other ad hoc approved payments. Manage all SaaS and software subscriptions and renewals (LinkedIn, Apollo, event platforms, productivity tools); flag anything underused or overpriced. Manage DocuSign for standard service contracts and NDAs (terms agreed by Rowan, beforehand); track insurance and vendor renewal dates for the Founder's sign-off. Event & community back-office logistics Source, book and manage venues for community lunches, breakfasts, panels and roundtables - including catering, dietary requirements, deposits and reschedules. Own attendee list management on Luma: process RSVPs, add/remove attendees, manage cancellations, and keep calendar invites in sync with who's confirmed. Handle on-the-day logistics: room setup, AV/recording support, guest lists. Systems & projects Maintain an internal SOP library (Loom-based process documentation) so ways of working are documented and repeatable as the team grows. Research and trial new tools that could save the team time. Pick up ad hoc projects assigned by Rowan or Gina. Hours & Structure - to be confirmed This is a part-time role: 3 hours a day, 5 days a week working remotely. Exact working patterns can be discussed to ensure it works for everyone in the team.
