Part-Time Virtual Assistant – Tax & Accounting Practice (5 hrs/week, with project opportunities) About Us We are a growing CPA-led tax and accounting practice based in New York. We work with individuals, small business owners, and self-employed professionals. We are looking for a reliable, detail-oriented virtual assistant to help us run day-to-day operations and grow our online presence. This is a part-time engagement with real potential to expand hours over time, especially during tax season (January through April). What You Will Do Email Triage and Client Communication - Monitor and triage our client-facing inbox daily - Draft professional responses to common client inquiries using provided templates - Flag urgent items requiring CPA attention - Follow up with clients on outstanding documents, signatures, and outstanding balances Client Onboarding - Send engagement letters and intake forms to new clients via TaxDome - Track onboarding status and follow up on incomplete steps - Set up new client profiles in TaxDome and ensure all information is complete - Coordinate document collection and confirm receipt TaxDome CRM Management - Keep client pipelines and task stages up to date - Send organizers and deadline reminders through TaxDome - Maintain accurate client records and notes - Assist with scheduling client calls and appointments Website and SEO Updates - Make content updates to our WordPress website as directed - Assist with on-page SEO including meta descriptions, title tags, and keyword optimization - Post content updates, service descriptions, and seasonal tax tips to the website - Maintain and update our Google Business profile with posts, photos, and responses Project Work (as available) - Build out service pages optimized for local Westchester County keywords - Research and compile outreach lists for small business marketing - Create and organize a library of client email templates - Other business development and operations projects as assigned What We Are Looking For - Strong written English communication skills, and a professional tone are essential - Prior experience supporting a U.S.-based accounting, tax, or professional services firm preferred - Familiarity with TaxDome, Drake Tax, or similar platforms is a major plus - Basic SEO knowledge required - Highly organized, self-directed, and responsive - Available for at least a one-hour overlap window during U.S. Eastern Time business hours - Must be comfortable handling confidential client financial information with discretion Engagement Details - Hours: approximately 5 hours per week to start, with additional project hours available - Schedule: flexible - Location: remote, Philippines-based candidates strongly encouraged to apply - Rate: please include your hourly rate in your proposal - Contract type: independent contractor To Apply Please include the following in your proposal: 1.
