Permit Inspection Coordinator

Company: We help home services companies sell and install HVAC, plumbing and electrical systems Responsibilities: Monitor permit tracker for "ISSUED" status permits requiring inspection scheduling Reach out to homeowners via email, text, and phone (using OpenPhone) to gather inspection availability Coordinate inspection scheduling with city/township/inspector offices, accounting for jurisdiction-specific rules (e.g., AM/PM windows, Tuesday-only inspectors, Friday closures, owner-initiated booking requirements) Book confirmed inspections with the appropriate municipal inspector Send inspection confirmation reminders to homeowners with permit numbers, inspector contact info, and on-site requirements Update tracker and add inspection details (date, special instructions) to the Location-level NOTE section in ServiceTitan Handle special workflows for jurisdictions where the homeowner must contact the inspector directly (e.g., Saginaw Township, Carrollton Township) We require at least 8 hours of daily overlap Monday through Friday with a standard 9AM-5PM workday in the ET timezone (e.g. New York timezone) Required skills: Strong conversational English — this role involves frequent phone, text, and email communication with US-based homeowners and municipal inspectors Previous experience with permits, inspections, or municipal/government coordination Proven data entry experience: ability to enter large amounts of data in an accurate and efficient manner Comfort making outbound phone calls to homeowners and city/township offices Preferred skills: Previous experience with a US or Canadian HVAC, plumbing or electrical contractor AND experience using ServiceTitan or HouseCall Pro. Proficiency in using tools such as Google Suite (e.g. Google Sheets, Google Docs), Slack, and OpenPhone (or similar VoIP tools) Strong organizational skills and attention to detail to manage multiple tasks, jurisdiction-specific rules, and deadlines effectively Customer service mindset — comfortable nudging homeowners professionally to keep inspections moving Discretion and professionalism in handling confidential information Reliable high-speed internet connection and a quiet environment for phone calls Positive attitude, flexibility, and adaptability to changing priorities and tasks This is a remote, full-time position
