Personal Executive Assistant to Founder (High Autonomy) – US Hours Required

Overview I’m the founder of a growing U.S.-based technology company looking for a high-caliber Personal Executive Assistant to help me stay organized, execute faster, and ensure nothing falls through the cracks across both business and personal responsibilities. This is a high-trust, high-impact role. You will be working directly with me and representing me in communication with team members, customers, vendors, and business owners. This is not a task-based VA role. I am looking for someone who can think, prioritize, follow through aggressively, and operate with minimal supervision. If you are someone who needs constant direction, this is not a fit. Work Schedule (Non-Negotiable) Monday – Friday 7:30 AM – 4:30 PM Pacific Time Applications that do not clearly confirm availability for these hours will not be considered. What Success Looks Like My inbox is organized, prioritized, and under control My calendar is optimized and aligned with priorities Every meeting results in clear action items and follow-ups Nothing I commit to gets missed or delayed Sales leads are properly routed and tracked Acquisition outreach and tracking runs consistently in the background I gain back 8–10+ hours per week of focused time Core Responsibilities 1. Inbox & Calendar Management Triage inbox daily (prioritize, categorize, draft responses) Manage and optimize calendar (protect focus time, resolve conflicts) Ensure I have time blocked for key commitments Prepare daily priority summaries 2. Meeting Execution & Follow-Through Attend meetings and take structured notes Identify action items, owners, and deadlines Track and relentlessly follow up until completion Hold team members accountable when needed 3. Business Operations Support Route inbound leads and ensure CRM tracking accuracy Build prospect lists and maintain data quality Support acquisition outreach (research, tracking, coordination) Assist with SOP documentation and KPI tracking Maintain organization across multiple workstreams 4. Research & Data Market and competitor research Pricing analysis Data cleanup and structuring Build and maintain organized databases (prospects, acquisition targets) 5. Personal Executive Support Track personal commitments and reminders Coordinate gifts (birthdays, holidays, etc.) Ensure nothing important is missed across work and personal life Required Qualifications (Strict) Near-native written and spoken English Experience supporting a founder, executive, or business owner Strong organizational and time management skills Ability to manage multiple priorities without constant direction High attention to detail Comfortable on email, phone, and video communication Assertive with follow-ups (you do not let things slip) Strong Preferences (Will Prioritize These Candidates) Experience with CRM systems (HubSpot, Salesforce, etc.) Experience with automation tools (Zapier, Make) Experience in SaaS, telecom, or SMB-focused businesses Experience with research, data analysis, or business operations Experience working in US time zones Who This Is NOT For Do NOT apply if: You are managing many clients simultaneously and cannot prioritize this role You require step-by-step instructions for every task You are not comfortable following up persistently with others You are unavailable during required working hours Your English communication is not strong enough for professional conversations Engagement Structure Start with a paid 2-week trial Expand to ongoing role based on performance Open to: High-performing individuals OR agencies with a dedicated primary point of contact Compensation Based on experience and capability Willing to pay for high-quality work and long-term reliability Application Instructions (Required – Read Carefully) To be considered, your application must include: 1.
