Philippines-Based Leasing Operations Executive for US Property Management

We are hiring a sharp, reliable individual freelancer based in the Philippines to support leasing operations for a US property-management company. This is an operations role, not a generic VA role. You will help manage rental listings, prospect follow-up, showing coordination, application workflows, tenant/prospect communication, and escalations from Luna, our AI leasing agent. We need someone who can follow approved scripts and checklists carefully, communicate clearly with US prospects, and notice where our leasing process needs better SOPs, automations, checklists, or systems. Schedule: Monday-Friday, 9:00 AM-6:00 PM Eastern Time This is an overnight / graveyard shift in the Philippines. Please apply only if you can reliably work this schedule. Rate: $12-$15/hour Location: Philippines-based candidates only Candidate type: Individual freelancers only. No agencies, teams, subcontractors, account managers, or outsourced fulfillment. What you will do: - Review rental listings for accuracy, completeness, availability, photo quality, and obvious issues. - Review prospect and tenant feedback after showings. - Follow up with prospects after showings using approved scripts and workflows. - Handle leasing escalations that Luna, our AI leasing agent, cannot resolve. - Coordinate showing agents through Showami. - Help with application workflows, missing items, and applicant follow-up. - Conduct scripted phone pre-screening for prospects when needed. - Use only approved checklist criteria to determine whether a prospect should be escalated for self-showing review. - Track leasing blockers, follow-ups, status, and next actions clearly. - Recommend process improvements, SOPs, scripts, automations, and system fixes. What we are looking for: - Fluent written English. - Clear, professional spoken English suitable for US tenant/prospect calls. - Strong phone presence, calm communication, and good judgment. - Leasing, property-management, real estate operations, or high-volume customer support experience. - Ability to follow fair-housing-safe scripts and apply checklists consistently. - Strong attention to detail around listings, dates, availability, application steps, and tenant/prospect notes. - Ability to identify broken workflows and suggest practical fixes. - Comfort with email, spreadsheets, calendars, CRMs, task tools, phone tools, and showing platforms. Showami experience is a plus. Authority boundaries: You may coordinate, draft, organize, follow approved scripts, summarize, document, and escalate. You may not make final legal, financial, tenant eligibility, application approval, leasing, pricing, contract, deposit, fee, fair-housing-sensitive, or exception decisions without explicit authorization. Anything sensitive, hostile, legal, financial, unclear, fair-housing-related, or outside the approved checklist must be escalated before action. You must not ask inappropriate personal questions or make decisions based on protected characteristics. Hiring process: 1. Proposal and screening-question review. 2. 20-30 minute interview. 3. Optional voice sample or live role-play. 4. Paid trial task using mock/sanitized leasing scenarios. 5. Final review before any offer or access. Please answer these screening questions directly. Generic proposals that do not answer them will not be considered. 1. Confirm directly: are you an individual freelancer who will personally do the work? Agencies, teams, subcontractors, account managers, and outsourced fulfillment are not a fit. 2. Are you based in the Philippines, and can you reliably work Monday-Friday, 9:00 AM-6:00 PM Eastern Time? Please confirm you understand this is an overnight/graveyard shift in the Philippines. 3. Describe your most relevant leasing, property management, real estate, or tenant/prospect communication experience. What did you personally handle? 4. Have you handled phone calls with US customers, tenants, applicants, or prospects? Describe the call types and your comfort level. Are you willing to do a short live role-play or voice sample? 5. A prospect says: “The showing agent was late, the unit looked dirty, and I want a lower rent before I apply.” What would you say, what would you document, and what would you escalate? 6. A prospect asks if they qualify for a self-showing and gives incomplete information. What would you do if you only have an approved checklist and cannot make final eligibility decisions? 7. What fair-housing or compliance risks would you watch for when speaking with prospects? Give examples of questions or statements you would avoid. 8. Which tools have you used: Showami, Gmail/email, Google Sheets, ClickUp, CRM, property management software, phone systems, calendars, listing platforms, or AI tools? 9. Give one example of a broken process you noticed in a past role. What did you recommend or change?
