Pre-Litigation Legal Assistant — Personal Injury

We are a Florida personal injury law firm seeking a full-time remote pre-litigation legal assistant to manage cases from intake through demand. This is a long-term, dedicated role — not a side contract. You will work directly with the Managing Partner of the firm and assist our paralegals on pre-litigation PI files. Core responsibilities: client intake and ongoing communication throughout the case lifecycle; opening and tracking insurance claims; requesting, organizing, and summarizing medical records and billing; coordinating with medical providers; drafting letters of representation and insurance correspondence; monitoring treatment progress; preparing files for the demand phase; and maintaining accurate, up-to-date case records in our case management system. We use FileVine. Experience with FileVine is helpful. Candidates with deep experience in other PI-specific platforms (Litify, CASEpeer, MyCase) will also be considered — you must be comfortable learning a new system quickly. Florida personal injury pre-litigation experience is preferred. Candidates with real PI pre-litigation experience in other states are welcome to apply and will be evaluated favorably. Bilingual English/Spanish is a plus but not required. This role will also involve training on settlement closing procedures, including lien resolution and disbursement preparation, under attorney supervision with built-in review checkpoints. No prior closing experience is required — we will train the right candidate. NON-NEGOTIABLE REQUIREMENTS: This must be your only job. No parallel contracts, polyworking, or side engagements. Full-time availability during our business hours is required. Upwork time tracking is mandatory.
