Send retainer agreements through SignWell and follow up with clients to ensure timely execution. Prepare and send Letters of Representation (LORs) to all applicable parties. Open insurance claims when no claim exists to ensure LORs and related documentation can be submitted. Request policy limits and obtain all necessary insurance information from carriers. Prepare and send HIPAA authorizations and track their return. Coordinate with Steven (hospital contact) to schedule client medical appointments and confirm details with clients. Set up and manage property damage claims, including communication with adjusters and body shops as needed. Follow up regularly with Steven to confirm clients are attending treatment and receiving appropriate pain management, ensuring continuous case progression. Request, track, and organize all medical records and bills from providers. Send collected medical records to Sarah for preparation of the medical package (“med pack”). Obtain all final medical bills and balances from providers once the case is settled. Maintain consistent, proactive communication with clients, providing updates, answering questions, and documenting all interactions in the case management system.
