Project Coordinator for Benjamin's Agency
Worldwide
# Production / Traffic Coordinator (Remote, Part-Time to Full-Time) ## About us We are a production company and marketing agency that creates photo and video content for consumer brands. We run monthly content programs for retainer clients and one-off commercial shoots across North America. Our team is remote-first and runs every project through Notion, Slack, Frame.io, and Google Calendar. ## The role You are the person who keeps every shoot moving. You own the calendar and the logistics so projects never stall. You coordinate availability across our crew, studios, models, and editors, lock dates once a project is confirmed, and keep our project board accurate and up to date. When you do your job well, nothing slips and no one has to chase. ## What you will do - Build and maintain the production schedule and availability board in Notion - Coordinate and confirm availability of crew, studios, models, and editors for each shoot - Lock shoot dates and edit slots once a project is confirmed, and keep all calendars in sync - Track footage handoff after each shoot and make sure files are uploaded to Frame.io on time - Keep project and task pages current in Notion as details change - Send clear confirmations and reminders to team members before each shoot - Flag scheduling conflicts and capacity risks early, before they become problems ## Coverage and availability This role coordinates a team across several time zones, so you need a few hours of daily overlap with North American Eastern Time, roughly 9am to 12pm ET, to run morning check-ins and lock the day's schedule. Outside that window you can work the hours that suit you. You can be based anywhere, in Canada or abroad, as long as you hold that daily overlap and reply to team messages within a few hours during your working day. ## You are a great fit if you - Are extremely organized and detail-obsessed, the kind of person where nothing slips - Communicate clearly and proactively in writing - Have coordinated schedules, logistics, or operations before (production, events, or agency experience is a plus) - Are comfortable in Notion, Slack, and shared calendars, or can learn tools quickly - Take ownership and follow through without being chased Nice to have: experience in photo or video production, media, or a creative agency. ## Hours Part-time to start, around 20 hours per week, with clear room to grow into more hours as you take on responsibility. ## Tools you will use Notion, Slack, Frame.io, Google Calendar. ## To apply Send a short note about a time you kept a complex schedule or project on track, including the tools you used, the time zone you work in, and the daily hours you can reliably be online.
