Project Manager, Operations (Part-Time to Start, Room to Grow)

We build highly customized experiences for our clients. So we need someone who keeps the operational layer together so nothing slips. We're looking for the person who works in the background and keeps every record accurate and up to date. If a wrong number bothers you until you fix it, keep reading. *The core of the job: the tracking system: We run everything through a Notion database. For each event, you pull the details out of an email trail and enter them in the right place. Some trails are one short message. Some run fifty emails long with the information buried in the middle. Either way, you read the whole thing and enter every piece that matters: the client, the event, the dates, and the start and end dollar values. You keep the numbers exact. The system uses them to calculate progress on its own, so one wrong figure throws the whole record off. You move each record through its stages as the deal moves, from initial outreach, to a capabilities deck, to a proposal, to a signed contract. The status in the system should always match where things actually stand. Because this is food and events, things change all the time. Guest counts shift. Menus get swapped. Dates move. When a change comes in, you flag it as pending and update the record right away, so the kitchen and operations teams are never working off old information. You also assign each record to the right person and team, attach the correct files, and keep the linked action items current. *The rest of the work: - You send pre-screening emails to collect the event date, guest count, location, service style, budget, and any design references before a proposal starts. - You run scheduled check-ins on warm leads so nothing goes cold while the team is busy with other work. - You hand the operations team clean, complete information so they can issue contracts and invoices without digging back through email threads. - You improve the templates and processes over time as you learn what works. *What we're looking for: You care about accuracy more than most people you've worked with, and they've probably told you so. You follow through without being chased. You read a long email and catch the one detail everyone else skips. When something in the data is off, it nags at you until it's right. You also write clearly. Good grammar and spelling matter here, because you'll be emailing clients and planners who notice. Comfort with a tool like Notion is a plus. If you've never used it, that's fine, as long as you pick up systems fast and like keeping them tidy. Some familiarity with events or hospitality helps too, but it is not the main thing. The main thing is that you are organized, careful, and steady. *Working style: The day-to-day admin and email work can be mostly remote, with flexibility as we settle into a rhythm together. *Compensation: We're open to a few setups depending on your background and availability. *How to apply: Send us a two-minute video telling us why you'd be a good fit for this role.
