BUSINESS OPERATIONS / PROJECT MANAGER / EXECUTIVE VIRTUAL ASSISTANT Part-time to start (approx. 20 hrs/week), with potential to grow into a full-time role Remote - must be available during U.S. business hours ------------------------------ ABOUT THE ROLE I'm an educational YouTuber, online educator, and creator behind coaching and course programs. I create the content - I need someone to run everything else. This is not a general task-execution VA role. You will be the central point of contact across the entire business, coordinating between team members, managing projects end-to-end, and making sure nothing falls through the cracks. I need someone who can take ownership of entire areas of the business and execute without being micromanaged. If you need a step-by-step SOP for every task, this isn't the right fit. If you thrive in fast-moving creator and education businesses and can turn a vague "can you sort this out?" into a completed project ------------------------------ WHAT YOU'LL BE RESPONSIBLE FOR - YouTube channel operations - A/B testing thumbnails and titles on published videos, updating descriptions and metadata, monitoring performance, and flagging what needs attention - Webinar and launch setup - building registration pages, setting up reminder and follow-up sequences, managing the full tech setup for live events, and handling post-webinar logistics - Website and funnel management - making copy updates, building and tweaking landing pages and funnels inside GoHighLevel - Email marketing and automation - building and managing email sequences and automations inside Kit (formerly ConvertKit) and GoHighLevel, from lead capture through to conversion - Content redistribution and repurposing strategy - developing and executing a cross-platform strategy for how content gets distributed and repurposed across YouTube, Instagram, Facebook, TikTok, and the newsletter, and bringing new ideas to me for approval - Organic marketing strategy - proactively researching and proposing organic marketing strategies for course launches, webinars, lead magnets, and content promotions. You develop the plan, present it for my approval, and own the execution end-to-end - Email management - triaging the inbox, drafting replies, following up with brand partners and collaborators, and surfacing what needs my direct attention - Project coordination - keeping Trello and Notion organized and up to date, managing deadlines, and coordinating between team members to keep everything moving - Social media coordination - maintaining the content calendar, scheduling posts across Instagram, Facebook, and TikTok, and handling community management - Reporting - delivering a structured summary every week of what was completed, what's in progress, and what's coming up - General operations - researching tools, setting up automations, building SOPs, and solving operational problems before they reach me ------------------------------ TOOLS YOU'LL BE WORKING WITH - Project management: Notion, Trello - Funnels, and automations: GoHighLevel - Communication: Slack, Gmail, Google Workspace - Content and design: Canva, YouTube Studio, Google Drive, Google Docs, Google Slides - Video review: Frame.io - Social scheduling: Buffer - Email marketing and automations: Kit (formerly ConvertKit) - Webinar platforms: EasyWebinar, WebinarJam, Zoom, YouTube Live - Spreadsheets: Google Sheets - Automation: Make.com - Invoicing: Xero ------------------------------ WHO YOU ARE - Proactive - you identify problems and solve them before they escalate - Highly organized - you manage multiple moving pieces simultaneously without dropping anything - An excellent communicator - clear, concise, and professional across written and async formats - Independent - you take full ownership of your responsibilities and follow through without needing check-ins - Strong working knowledge of project management tools and creator business workflows - Experienced working with a content creator, online educator, or course creator - you genuinely understand how this type of business operates - Skilled in email marketing and automation - you've actually built sequences, workflows, and funnels inside platforms like Kit and GoHighLevel, not just used them for basic sends - Has a marketing brain - you don't just execute, you think about what should happen next. You're comfortable putting together a launch plan or organic marketing strategy, presenting it clearly, and running with it once approved - Strong understanding of content repurposing and cross-platform distribution - you know how to take one piece of content and build a distribution strategy around it - Comfortable with GoHighLevel - you've built or managed funnels and automations, not just navigated the dashboard - Available and responsive during U.S. business hours
