With Grace is a regenerative architecture and development studio. We design and deliver high-end, values-driven projects across Southeast Asia. The role You are the operational backbone of a flagship project. You coordinate across all workstreams, own the client relationship day-to-day, and ensure nothing stalls between disciplines. You work closely with the Project Lead and AI Lead inside a structured delivery system. Founders are strategic. You are everything else. You are expected to make judgment calls, resolve issues without founder involvement, and hold internal and external stakeholders accountable. This role will not work if you wait to be told what to do, escalate instead of solve, or are more comfortable supporting than owning. What you own Day-to-day client communication and primary client relationship Coordination across all workstreams: architecture, engineering, landscape, brand, and business strategy Milestone tracking and action management in our project management system Consultant and specialist follow-up Weekly status reporting to the Project Lead and founders Protecting commercial momentum — ensuring approvals, decisions, and milestones don't stall due to communication gaps or slow follow-through Risk management — identifying, flagging, and mitigating project risks before they escalate Contract and scope management — ensuring all consultants and contractors deliver within agreed scope, changes are documented, and scope creep is caught early Each project comes with a defined budget that you are responsible for tracking and protecting Regular coordination with the Finance Manager on cost control, budget tracking, and financial reporting Prepare and present project progress reports, performance analyses, and strategic recommendations to the Project Lead and clients Running weekly project meetings, setting agendas, capturing decisions and actions Documenting every recurring process in your role within 90 days Working with the AI Lead to automate 50% of those processes within 6 months What winning looks like Project milestones hit on time Client communication requires zero founder intervention Clients feel informed, supported, and confident at every stage of the project Every workstream is documented and trackable in real time The Project Lead spends zero time chasing updates By month six all recurring processes in your role are documented and partially automated First 90 days In the first 90 days you will: Take over as primary point of contact for assigned project clients Independently run client communication, meeting cadence, and follow-ups Coordinate architects, consultants, site team into the right conversations Own milestone tracking and action management across all active workstreams Identify where communication is breaking down and improve the process Support commercial continuity across the project Materially reduce founder involvement in day-to-day project management Managing difficult moments Delays happen. Consultants miss deadlines. Clients get frustrated. This role requires the maturity to handle tension professionally and calmly without becoming reactive or defensive. You push back when needed. You hold timelines and process when required. You resolve friction early before it becomes a trust problem. Friendliness is not enough. This role requires judgment, confidence, and composure under pressure. Who you are 5+ years in luxury hospitality, real estate, architecture, or integrated development Have contributed to a $10M+ project in a project management or coordination capacity Comfortable in high-net-worth client situations — polished, warm, and professional Tech-savvy and a fast learner — you adopt new tools before being asked Already using AI in some part of how you work Detail-oriented without being slow High integrity, low ego Based in Bali or willing to relocate Who you work with Project Lead — your direct senior AI Lead — builds the tools and systems you use daily Site Manager — operational day-to-day and strategic site construction Site Supervisor — standard execution for construction Growth path This role is the entry point into With Grace's core delivery team.
