Project & Operations Coordinator (Long-Term Opportunity)

ABOUT US We're a small, U.S.-based company that specializes in electrical submetering and energy monitoring systems for apartment buildings, commercial properties, and utility providers. Our work includes project management, system design, startup commissioning, troubleshooting, customer support, and ongoing service for electrical, water, and gas submetering systems. We work with property owners, electrical contractors, manufacturers, and billing companies to help make sure projects are completed successfully and continue operating long after installation. I'm looking for someone to join our team long term. We'll start part-time so we both have a chance to make sure it's a good fit, but my goal is to transition this role into a full-time position as the company continues to grow. ABOUT THE ROLE You'll work directly with me and our Solutions Engineer, helping coordinate projects, communicate with customers, prepare proposals, and keep everything organized behind the scenes. At any given time, we're typically managing around five active projects while another twenty or so are somewhere in the planning, proposal, or sales process. We're a small team, so this role touches a little bit of everything. The goal isn't simply to help with administrative tasks. I'm looking for someone who wants to take ownership of the operational side of the business so I can spend more time focusing on growing the company and developing new opportunities. One of the advantages of working for a small company is that your ideas actually matter. If you find a better way to organize something, improve a process, or make the business run more efficiently, there's a good chance we'll actually implement it. WHAT A TYPICAL DAY LOOKS LIKE I've attached a short document called "What Your First Few Months Might Look Like" that gives you a better idea of what a typical day in this role is actually like. THE TYPES OF RESPONSIBILITIES YOU'LL TAKE OWNERSHIP OF INCLUDE • Coordinating active projects from beginning to completion • Communicating with customers, contractors, and manufacturers • Preparing and updating proposals • Following up on open projects and customer requests • Maintaining our CRM with accurate project information • Tracking project progress and next steps • Coordinating equipment orders and deliveries • Organizing project documentation and drawings • Helping improve internal processes and workflows as the company grows THE KIND OF PERSON I'M LOOKING FOR The right person is much more important to me than having the perfect resume. An engineering background or technical experience is certainly helpful, but I can teach the technical side. What I can't teach is someone who genuinely enjoys taking ownership, staying organized, communicating well, and following through on commitments. I'm looking for someone who: • Takes ownership instead of waiting to be told what to do • Communicates professionally and enjoys working with customers • Is organized and pays attention to details • Follows through and keeps projects moving • Enjoys solving problems and improving processes • Wants to grow with a small company over the long term These responsibilities are really just a starting point. As the company grows, I'd love this role to grow with it based on your strengths, interests, and the areas where you enjoy contributing most. MY MANAGEMENT STYLE I don't like to micro-manage people. My goal is to build a small team of people who genuinely enjoy working together, communicate well, and take ownership of what they do. I believe people do their best work when they're trusted, supported, and given the freedom to make decisions within their responsibilities. As you become more comfortable in the role, I expect you'll naturally take ownership of more areas of the business. At the same time, my role and our Solutions Engineer's role will continue evolving as the company grows. Ultimately, if I can spend more time building relationships, developing new business, and growing the company because you're confidently handling more of the day-to-day operations, that's a win for everyone.
