Job Description We are a growing exterior remodeling company based in Pittsburgh, Pennsylvania. We specialize in siding, exterior cladding, trim, soffit, fascia, and related exterior renovation work. We are looking for a highly organized remote team member to support our sales and operations workflow. This person will help prepare customer proposal drafts, organize project information, support material order preparation, and keep our digital systems accurate. This is a long-term role for someone who is detail-oriented, reliable, strong in written English, and comfortable learning construction terminology. Prior construction experience is helpful but not required if you are organized, teachable, and good with documents, checklists, and communication. Main Responsibilities - Prepare first-draft customer proposals using company templates. -Turn estimator notes, project forms, photos, and measurement reports into clear proposal language. -Organize scope of work, product details, colors, materials, assumptions, and exclusions. -Identify missing information before proposals are sent for final review. -Maintain clean and organized digital job folders. -Update project information in our CRM and internal systems. -Track customer selections, signed documents, deposits, colors, and pre-production requirements. - Help prepare basic material order checklists after training. - Learn to review siding measurement reports and project photos. Communicate project status, missing items, and next steps clearly to the internal team. - Support sales and operations with administrative and project coordination tasks. Required Skills: - Strong written and spoken English. - Fluent Spanish. - Excellent organization and attention to detail. - Experience in project coordination, operations support, executive assistance, communications, or administrative support. - Comfortable using Google Drive, Gmail, Google Sheets, Microsoft Excel, PDFs, and online systems. - Ability to manage multiple projects at once. Good follow-through and responsiveness. - Ability to work independently in a remote environment. - Willingness to learn construction vocabulary and exterior remodeling workflows. Preferred Experience: - Construction, remodeling, architecture, real estate, procurement, or project coordination experience. - Experience preparing proposals, scopes of work, presentations, or customer-facing documents. -Experience with CRM or project management software. -Experience working with U.S.-based companies. -Comfort working with measurements, quantities, estimates, or vendor orders. You should be able to take messy project information and turn it into clean, organized documents and clear next steps. This role is not just basic admin work. It requires writing ability, judgment, organization, and the ability to keep projects moving between sales and operations. Schedule: This is a remote role, but you must be available for regular overlap with U.S. Eastern Time business hours. Preferred schedule: Monday–Friday, with at least 4–6 hours of overlap during U.S. business hours. Trial Period: We will begin with a paid trial project or trial period. During the trial, you may be asked to: - Review a sample project file. - Prepare a draft proposal from a template. - Identify missing information. - Organize a project folder. - Create a basic project checklist. - Write a short internal project summary. Successful performance may lead to a long-term full-time role.
