PROJECT SCOPE OF WORK Project Background The QuickBooks Desktop Enterprise company file being extracted contains approximately 25 years of accounting history. It is maintained solely as a historical archive. The goal is a one-time extraction of historical transaction data and key summary reports so that the file no longer needs to be accessed. This is a one-time data extraction project, not a consulting or advisory engagement. Existing Archived Data The following master files have already been exported and do not need to be included in this project: Customer List Vendor List Item List Required Transaction Exports Export the following transaction data covering the entire historical period. Purchasing Purchase Orders (Header) Purchase Order Line Items Bills (Header) Bill Line Items Sales Sales Orders (Header) Sales Order Line Items Invoices (Header) Invoice Line Items Credit Memos (Header) Credit Memo Line Items Optional — include if available without significant additional effort Vendor Credits (Header and Line Items) Required Summary Reports Generate the following reports covering the entire historical period. Excel preferred. Sales Sales by Customer Summary — displayed by month, with monthly and grand totals Sales by Item Summary — displayed by month, with monthly and grand totals Purchasing Purchases by Vendor Summary — displayed by month, with monthly and grand totals Financial Statements Profit & Loss by Month Balance Sheet by Month Deliverables All transaction exports and summary reports described above, organized into a clearly labeled folder structure with separate subfolders for transaction exports and summary reports. Include a simple index identifying: File name Description Date range Number of records (for transaction exports) CSV format is preferred for transaction exports; Excel is acceptable if CSV is not available. Excel is preferred for all summary reports. Technical Notes Because of the file size, it may not be practical to export all transaction history in a single operation. Exporting in multiple date ranges (for example, two-year increments) and combining the resulting files into final deliverables is expected and acceptable. Transaction Pro license is a suggested tool. Alternative extraction methods (QuickBooks SDK, QODBC, or other tools) are welcome if the freelancer believes another approach is more appropriate.
