Quickbase Developer / Solutions Architect Vendor Bid Management & Operations Workflow Automation Overview We are seeking an experienced Quickbase developer to design, build, and optimize several interconnected business applications that support a nationwide construction services operation. Our current processes rely heavily on spreadsheets, email, paper forms, and manual data entry. We are looking for a developer who can help us streamline operations, automate workflows, improve reporting, and create a scalable system architecture inside Quickbase. This is not simply a Quickbase administration project. We need someone who can think through business processes, design scalable solutions, and build applications that improve operational efficiency. About the Business We support construction projects across the United States by coordinating multiple third-party service providers throughout the lifecycle of a project. For each project, we manage: Vendor sourcing Bid collection Vendor selection Service activation Ongoing operational coordination Project reporting Projects often require multiple service categories and multiple vendors. Current Environment We currently operate within Quickbase and have an existing operations management application that tracks: Projects Customers Vendors Services Activities Operational workflows As the business has grown, we have identified several opportunities to improve efficiency, automate manual processes, and enhance reporting. Primary Project Build Vendor Bid Management Application We need a dedicated Quickbase application that manages the entire vendor bidding process and integrates with our existing operations management application. Desired Workflow Phase 1: Project Intake A project is created in Quickbase. Project information includes: Project Name Customer Address Project Start Date Project End Date Project Type Project Size Additional project metadata Phase 2: Vendor Bid Collection For each project: Multiple service categories must be bid. Examples: Equipment rentals Site services Temporary infrastructure Logistics support Specialty services Each service category may have multiple vendors submitting bids. The system should support: Manual bid entry by internal users Vendor self-submission forms Email-driven workflows Bid status tracking Phase 3: Vendor Selection / Awarding Users must be able to: Compare vendor bids Review pricing Select winning vendors Mark vendors as awarded Once awarded: Selected vendor information should automatically flow into the operational management application. Phase 4: Service Creation Upon award: The system should automatically create service records in the operations application. Services should initially be created as: Pending and later converted to: Active when work begins. Functional Requirements Relational Database Design Developer should design and/or improve relationships between: Projects Services Vendors Vendor Bids Bid Requests Customer Pricing Scope of Work Records Dynamic Vendor Bid Forms Need forms that change based on service type. Examples may include: Rental pricing Delivery charges Mobilization fees Monthly rates Service-specific pricing fields Each service category should support customized data collection. Vendor Portal / Public Forms Need Quickbase forms or alternative solutions that allow vendors to: Receive bid invitations Submit pricing Upload supporting documentation Confirm pricing in writing Workflow Automation Experience with Quickbase Pipelines required. Potential automations include: Project creation Bid request generation Vendor notifications Bid reminders Award notifications Service creation Reporting updates Reporting & Dashboards Need role-based dashboards for: Estimating / Procurement Team View: Open bids Pending vendor responses Award status Operations Team View: Upcoming activations Active services Vendor assignments Leadership View: Bid volume Vendor performance Cost trends Margin reporting Pipeline reporting Historical Data Preservation Very important. Vendor pricing varies by: Project Market Geography Timing We need a structure that preserves historical pricing and reporting. The system must never overwrite historical bid data.
