Quotations & Pricing Coordinator (Materials Procurement)

Job Summary Responsible for requesting quotations and collecting pricing for supply materials from suppliers across multiple categories (construction, electrical, manufacturing, and general supplies). Ensures all quotes are received accurately, compared consistently in Excel, and prepared as a clear recommendation package for submission. Key Responsibilities Review material requirements from internal teams (purchasing lead, operations, projects) and confirm specifications/part numbers (as applicable). Prepare and send RFQs/quote requests to approved suppliers using email/phone communication. Follow up with suppliers to obtain complete quotations, including: Unit price and total price Lead time / delivery date MOQ (minimum order quantity) if applicable Payment terms Freight/shipping cost and delivery method (if provided) Quote validity period Any commercial notes, assumptions, or exclusions Validate quote details for accuracy (spelling/specs, pricing format, currency, quantities, validity). Create and maintain quote comparison sheets in Excel (side-by-side comparisons) using consistent criteria. Prepare quote summary and recommendation for internal submission (e.g., best value based on price + lead time + terms, as defined by the business). Maintain an organized filing system for RFQs, supplier responses, and quote records. Track quote deadlines and expiration dates; notify stakeholders of missing or expiring quotes. Support supplier performance tracking informally (responsiveness, completeness, delivery estimates) as needed. Assist with onboarding/support requests such as updating supplier lists and contact information (if assigned). Qualifications 2–5 years of experience in procurement support, purchasing coordination, quotations/RFQ processing, or supply chain administration. Experience working across multiple material categories (general supplies, electrical, construction, manufacturing or similar). Strong communication skills (professional email and phone follow-ups with suppliers). Intermediate-to-advanced Excel skills (sorting, filtering, formulas, and building comparison tables). Strong attention to detail and ability to manage many quote requests simultaneously.
