20–30 Hours/Week | Remote | Must be Available 10:00 AM–4:00 PM Pacific Time Wild Buffalo Media is a growing real estate media company serving real estate agents with photography, videography, drone services, floor plans, and marketing media. We’re looking for someone who loves organization, enjoys solving problems, communicates exceptionally well, and wants to become a key part of a growing business. This is not a sales role or a typical virtual assistant position. We’re looking for someone who wants to take ownership of our day-to-day operations and create an incredible experience for both our clients and our internal team. What You’ll Be Responsible For Client Success * Respond to client emails, texts, and phone calls * Answer client questions * Coordinate revision requests * Follow up after project delivery * Ensure every client has a five-star experience Operations * Prepare our photographer’s schedule each day * Create and organize Google Drive folders * Create and manage Trello project boards * Verify project details before appointments * Track projects from booking through final delivery * Ensure deadlines are met and nothing falls through the cracks Team Support * Support our photographer with scheduling and logistics * Coordinate with our post-production team * Communicate with our video editor when needed * Help keep projects moving efficiently Systems & Process Improvement * Build and improve workflows * Create SOPs and documentation * Assist with GoHighLevel automations * Create Canva templates and internal documents * Help improve our systems and efficiency as we grow Preferred Experience We’re looking for someone with experience using some or most of the following: * Google Workspace (Drive, Docs, Sheets, Gmail) * Trello * Canva * GoHighLevel * CRM systems * AI tools * Project management software * Customer service or client success * Operations or administrative support Experience with real estate, media companies, photographers, or creative agencies is a major plus. Experience with Spiro or similar media delivery software is also a plus. Who You Are * Extremely organized * Detail-oriented * Excellent written and verbal communicator * Comfortable learning new software * Proactive and resourceful * Calm under pressure * Able to manage multiple projects at once * Takes ownership instead of waiting for direction * Enjoys improving systems and creating order Hours * 20–30 hours per week * Must be available Monday–Friday between 10:00 AM and 4:00 PM Pacific Time * Additional flexibility outside those hours is a bonus To Apply Please include the following: 1.
