Summary

We are Gates and Gables, Realty a high-volume real estate company operating across Illinois and Wisconsin. Our primary focus is a fast-paced Limited-Service / Flat-Fee Listing concept. Instead of managing a few traditional clients a month, we process a large volume of intake forms from clients who pay a flat fee to list their own properties. Because our business model relies on speed and accurate data entry, we need a sharp, reliable Virtual Assistant to handle our backend day-to-day tasks. ​This is a long-term position offering a stable, guaranteed flat monthly retainer of $600 USD per month. ​Working Hours: Monday through Friday, 9:00 AM to 4:00 PM US Central Standard Time (CST). This is 35 hours per week. You must be fully present and responsive during these hours. Start and end times may be adjusted to cover work flow. (If some days seem really slow, we may reduce that day schedule to add more to another ??? ) ​Key Responsibilities & What You Must Be Able to Do: ​Data Entry & Review: Review incoming property information submitted by clients. Ensure that all necessary property details and fields are completely filled out and accurate before anything moves forward. ​QuickBooks Invoicing: Handle day-to-day invoicing. Ensure client invoices are accurately sent out and processed via QuickBooks before listings go live. ​Standard Office Phone Support: Answer incoming calls, answer basic questions about our listings, and assist clients over the phone during business hours. ​Media & File Organization: Download media packages and photos uploaded by clients, ensure they match the correct property, and keep files perfectly organized in Google Drive. ​Transaction Tracking & Client Emails: Track the status of active property files, make sure paperwork is moving forward, and send out standard templated updates and confirmation emails to clients. ​Requirements: ​Excellent, fluent written and spoken English communication skills. I will want to have phone call check inside/zoom with ME, not customer or client.
