Job Summary The Virtual Assistant will assist with various administrative tasks related to residential property management. The ideal candidate is organized, self-motivated, and has excellent communication skills. You will be responsible for supporting the management team in handling tenant relations, lease administration, maintenance coordination, and other duties specific to residential properties. Key Responsibilities • Tenant Communication: Respond to tenant inquiries, handle complaints, and provide general customer service for residential tenants. • Lease Administration: Assist with the preparation, execution, and renewal of lease agreements. Maintain accurate records of lease documents and tenant information for residential properties. • Maintenance Coordination: Schedule and follow up on maintenance requests for residential properties, liaise with contractors, and ensure timely completion of work orders. • Financial Support: Help with rent collection, processing payments, and preparing financial reports related to residential properties. Create QuickBooks invoices as needed. • Marketing and Advertising: Post residential property listings on various platforms, manage online property profiles, and respond to inquiries from prospective tenants. ◦ Coordinate property viewings with on-site coordinators and move-ins/move-outs. ◦ Perform market research for rent comparables. • Administrative Tasks: Manage calendars, schedule appointments, organize files, and perform data entry related to residential properties. • Reporting: Prepare regular reports on property performance, tenant issues, and maintenance activities specific to residential properties. • Bookkeeping: Apply rent and vendor payments in Buildium; handle light bookkeeping and accounting transactions. Qualifications • Previous experience in residential property management, real estate, or a related field preferred. • Strong organizational and multitasking skills. • Excellent written and verbal communication skills. • Proficient in Microsoft Office Suite and QuickBooks. • Ability to work independently and meet deadlines. • High level of discretion and professionalism. • Experience with Buildium property management software preferred.
