Summary

We're looking for a sharp, detail-driven professional who can own the financial admin, document management, and day-to-day operations for a growing private investment office. This isn't a basic VA role. You'll be working directly with the principal across multiple entities, jurisdictions, and time zones. WHAT YOU'LL DO: Bookkeeping & Financial Record-Keeping * Maintain accurate books and financial records across multiple entities * Record and reconcile transactions, capital movements, and investment activity * Prepare financial summaries and periodic reports for the principal * Liaise with external accountants, auditors, tax advisors, and legal counsel * Support onboarding of new entities (including international holding companies & foundations) Document Management & Corporate Admin * Build and maintain a secure, organised filing system for all legal, corporate, and investment docs * Track compliance calendars, entity renewals, regulatory filing deadlines, and reporting obligations * Coordinate document execution, notarisation, and apostille processes * Maintain version control and audit trails for sensitive documentation Travel, Scheduling & Personal Organisation * Coordinate all travel logistics — flights, accommodation, transfers, itineraries * Manage the principal's calendar across time zones * Handle ad hoc organisational and personal admin tasks * Anticipate needs proactively with minimal direction YOU MUST HAVE: ✅ Bookkeeping or accounting experience (AAT qualified, part-qualified ACA/ACCA, or equivalent preferred) ✅ Experience supporting a principal, private office, family office, or boutique investment firm ✅ Strong organisational skills — able to manage multiple workstreams simultaneously ✅ Exceptional attention to detail across numbers and documentation ✅ Absolute discretion — you'll handle highly sensitive financial and legal information ✅ Comfortable working with international structures and multi-currency environments ✅ Self-starter who thrives autonomously in a fully remote setup ✅ Proven track record of remote work in professional services or finance ✅ Highly responsive communicator across email, messaging, and video platforms BIG PLUS: ⭐ Familiarity with private investment structures, SPVs, holding companies, or foundations ⭐ Experience coordinating across professional advisors in multiple jurisdictions (legal, tax, banking) ⭐ Background in legal, compliance, or wealth management support ⭐ Experience with executive travel management and scheduling
