Remote Leasing Coordinator – Property Management Overview James Property Management Group is seeking a highly organized and detail-oriented Remote Leasing Coordinator to support our growing residential property management portfolio in the Chicago market. This position is responsible for managing the administrative side of the leasing process, including lead management, listing coordination, showing coordination, lease preparation, and prospect follow-up. The ideal candidate has previous property management or real estate experience and is comfortable working with multiple software platforms while handling a high volume of leasing activity. This is a long-term remote position with opportunities for growth within our organization. Responsibilities Leasing & Lead Management Manage leasing leads through Tenant Turner. Respond to prospect inquiries via phone, text message, and email. Pre-qualify prospective tenants based on company screening requirements. Coordinate showing schedules with leasing agents. Follow up with prospects after showings. Track leasing activity and maintain accurate prospect records. Listing Management Create and update rental listings in Buildium. Upload and maintain MLS listings. Prepare listing drafts for management review and approval. Upload photos, descriptions, floor plans, and marketing materials. Monitor listing accuracy across multiple advertising platforms. Showing Coordination Coordinate showing schedules with internal and third-party leasing agents. Communicate showing instructions and access information. Assist with lockbox access issues and showing-related questions. Coordinate open houses and scheduled showing events. Lease Administration Prepare lease agreements and lease renewal documents. Verify application packages are complete. Assist with tenant onboarding and move-in coordination. Maintain digital leasing files and records. Ensure all leasing documentation is accurate and complete. Administrative Support Perform data entry and record maintenance. Monitor leasing reports and vacancy status. Assist management with special projects and reporting. Support overall leasing and occupancy goals. Preferred Experience Previous property management experience. Previous leasing coordinator or leasing assistant experience. Experience using Tenant Turner. Experience using Buildium, AppFolio, Propertyware, or similar property management software. Experience with MLS systems and ShowingTime. Experience preparing leases and lease renewals. Strong customer service and communication skills. Excellent written and verbal English. Ability to manage multiple tasks and deadlines simultaneously. Qualifications Reliable internet connection. Strong organizational and time-management skills. High attention to detail. Proficiency with Microsoft Office and Google Workspace. Comfortable learning new software systems. Ability to work independently with minimal supervision.
