Summary

Law Offices of Gary L. Rotkop, A Professional Corporation — Century City, California We are a boutique business and healthcare law firm in Century City. The practice is corporate and transactional: entities, governance, real property transfers, professional-corporation and healthcare compliance, and ongoing counsel for closely held companies. The office is small, organized, and exacting. Work is done to a standard, not “good enough.” We are hiring one remote legal assistant to work as part of the firm. This is a dedicated, long-term seat with stable hours, clear procedures, and direct work with the principal attorney. You will communicate with clients, keep matters moving, and exercise sound judgment on process and follow-up. You will be trained on our templates and filing process. Prior California SOS experience is helpful, not required. What is required is clean English, reliable attendance, and care with other people’s companies. The work Prepare and assemble corporate and LLC documents from firm templates (formation papers, minutes/consents, certificates, governance packets) Track open items, signatures, and deadlines Communicate with clients by email and phone to collect information, request signatures, give status, and keep files moving Organize files in our document system Use independent judgment on routine process: what to send next, when to follow up, how to keep a packet accurate and complete Raise legal, conflict, or unusual questions to the attorney instead of guessing Schedule Monday–Friday, 9:00 a.m. to 5:00 p.m. Pacific Time. That is the job clock. If you are in the Philippines or Asia, this is an overnight shift; apply only if you already work U.S. business hours and can sustain them. Who this is for Spoken English that sounds natural to a U.S. client: native, near-native, or a light accent consistent with a professional who works with U.S. clients. Heavy accents will not work for this seat Comfortable speaking with business owners and professionals in a calm, direct way One primary role. We are not a side contract behind another full-time client or your own business Experience with legal or corporate documents is a plus. General inbox/calendar VA work alone is not a fit Immigration casework, deposition summaries, and litigation intake are not this job How the firm works Checklists and templates exist so routine work stays consistent. Use them, then think Client communication is part of the job. You will email and call clients using firm channels If two documents disagree on something material (name, address, date, ownership), flag it and get direction before you file or send a final packet. Do not ignore it and do not invent the answer Review is part of the culture. First-week edits are normal. Repeating the same mistake is not To apply Answer these in your proposal: Where you are based, and confirm you can work 9:00 a.m.–5:00 p.m. Pacific Time. Is this your primary work commitment? If you have other clients or a business, list hours per week. Brief description of legal or corporate document work you have done (if none, say so). A 60-second video (Loom, Google Drive, or Upwork video). On camera, introduce yourself and, in one minute, tell us how you would handle this: you are preparing a filing and the client’s formation document has one street address while the intake form has another. Applications without the video or the schedule confirmation will not be reviewed. This is a professional, long-term role with a principal attorney who expects accuracy, good judgment, and clean communication, and who will train the right person. If that is the kind of office you want to work in, we want to hear from you.
