Remote Medical Office Coordinator – Phone & Patient Scheduling We are an established optometry and optical practice in New York seeking a reliable, professional Remote Medical Office Coordinator to support our day-to-day patient communication and scheduling. This is a phone-intensive position. A significant part of the role involves managing both inbound and outbound patient phone calls throughout the workday. Applicants must be comfortable speaking with patients professionally, handling multiple types of inquiries, and following through on assigned tasks. Key Responsibilities Manage inbound patient phone calls Make outbound calls to patients as needed Schedule, reschedule, and cancel appointments Conduct appointment confirmations. Route patient inquiries to the appropriate staff member. Assist patients with general questions regarding appointments, office procedures, prescriptions, glasses, contact lenses, and other requests Document patient calls and requests accurately Follow up on outstanding patient requests to ensure they are completed Help manage the daily appointment schedule and identify scheduling issues Contact patients regarding schedule changes when necessary Communicate with pharmacies, insurance companies, and other healthcare offices when needed Assist with administrative and patient follow-up tasks assigned by the office Work closely with our on-site and remote team through internal chat and practice-management systems What We're Looking For The ideal candidate is: Very comfortable spending a substantial portion of the workday on the phone Professional, friendly, and confident when speaking with patients Fluent in spoken and written English with clear communication skills Organized and able to manage multiple patient requests simultaneously Detail-oriented with strong follow-through Comfortable working independently in a remote environment Able to recognize urgent or time-sensitive requests and escalate them appropriately Reliable and consistently available during scheduled working hours Comfortable learning new software and office procedures Previous experience working for a medical office preferred. Experience with patient scheduling and high-volume phone communication is particularly valuable. Schedule Monday–Friday, approximately 9:00 AM–6:00 PM Eastern Time. Important This is not a primarily back-office or data-entry position. The Office Coordinator will be actively communicating with patients throughout the day.
