Remote Project Manager – Construction This remote position requires strong construction knowledge, leadership, client communication, scheduling, financial oversight, and the ability to coordinate field teams, subcontractors, vendors, and internal staff. The ideal candidate is comfortable managing projects remotely using digital reports, photographs, project-management systems, and frequent communication with onsite personnel. Key Responsibilities 1. Project Coordination and Scheduling - Plan, organize, and manage multiple ongoing construction and property-improvement projects. - Coordinate project start dates, material deliveries, subcontractors, and crew schedules. - Develop and maintain project timelines, milestones, work plans, and deliverable-tracking sheets. - Monitor daily progress through site reports, photographs, video calls, and check-ins with onsite supervisors. - Identify potential delays, scheduling conflicts, and project risks and implement appropriate corrective actions. - Ensure projects are completed on schedule and in accordance with the approved scope of work. 2. Client Communication and Relationship Management - Serve as the primary point of contact for clients throughout each project. - Conduct virtual project kickoff meetings and provide regular updates by phone, email, or video conference. - Clearly communicate project schedules, milestones, delays, change orders, and next steps. - Manage client expectations and respond to questions or concerns promptly and professionally. - Coordinate client approvals and decisions needed to keep projects moving. - Ensure a positive client experience from project mobilization through final close-out. 3. Team Leadership and Field Coordination - Remotely manage field crews, subcontractors, vendors, and onsite supervisors. - Assign daily and weekly priorities and confirm that assigned work is completed correctly and on time. - Review daily site logs, employee time entries, progress photographs, and quality-control documentation. - Provide guidance to field supervisors and help resolve onsite issues through virtual communication. - Promote compliance with Build by Gabros’ quality, safety, documentation, and customer-service standards. - Conduct regular coordination meetings with field personnel and internal team members. - Mentor fellow project managers and provide guidance and support to junior staff and other team members. - Hold project participants accountable for assigned tasks, deadlines, and deliverables. 4. Budget and Cost Oversight - Track project budgets, committed costs, actual expenses, and profit margins in coordination with the operations and accounting teams. - Review material orders, labor hours, subcontractor invoices, purchase documentation, and change orders. - Monitor project-specific revenue, direct costs, gross profit, overhead, and net profit. - Prepare weekly or biweekly cost summaries, variance reports, and project-specific profit-and-loss reports. - Compare actual project performance against approved budgets and estimates. - Identify cost overruns and financial risks and recommend corrective actions. - Identify opportunities to reduce costs, improve operational efficiency, and increase project profitability. - Ensure additional work is properly documented, approved, and billed through the change-order process. 5. Documentation and Reporting - Maintain accurate digital project records, including contracts, estimates, scopes of work, permits, schedules, photographs, invoices, change orders, and daily logs. - Generate weekly project-status reports summarizing schedule, completed work, upcoming activities, budget performance, risks, and profit-and-loss results. - Maintain project information and task updates within the company’s project-management, CRM, and ERPNext systems. - Create and manage punch lists in coordination with clients and field personnel. - Prepare final close-out documentation and confirm that outstanding items have been completed. - Maintain internal dashboards, shared folders, and tracking sheets to provide real-time visibility into project and financial performance. - Ensure project documentation is complete, current, organized, and accessible to authorized team members. 6. Vendor and Procurement Support - Request and evaluate material quotes from vendors and suppliers. - Coordinate material ordering, delivery schedules, pickups, and jobsite drop-offs. - Confirm that required materials are available before scheduled work begins. - Monitor vendor lead times and address procurement issues that could affect the project schedule. - Maintain an updated catalog of approved materials, current pricing, and preferred suppliers. - Support the evaluation of vendor and subcontractor performance based on cost, quality, reliability, and responsiveness. Required Qualifications - Previous project-management experience in construction, remodeling, property improvement, facilities, or a related field. - Strong understanding of construction scheduling, budgeting, procurement, and project documentation. - Experience coordinating field crews, subcontractors, suppliers, and clients. - Ability to review project costs, budgets, invoices, labor hours, change orders, and profit margins. - Strong leadership, organization, communication, and problem-solving skills. - Ability to manage multiple projects, priorities, and deadlines in a remote work environment. Strong attention to detail and commitment to accurate documentation. - Proficiency with spreadsheets, shared drives, email, video conferencing, and digital project-management systems. - Ability to work independently while maintaining frequent communication with field and office teams. Preferred Qualifications - Experience managing residential and commercial construction projects. - Experience preparing project budgets, cost-variance reports, and project-specific profit-and-loss statements. - Familiarity with CRM, ERPNext, accounting, and construction project-management systems. - Experience mentoring project coordinators, junior project managers, or field personnel. - Knowledge of construction safety practices, permitting, inspections, and close-out requirements. Tools and Systems - The Project Manager will be expected to use: CRM and ERPNext systems for client, project, task, and financial tracking - Google Workspace, including Docs, Sheets, Drive, Gmail, Meet, and Calendar - Google Voice, email, and other communication platforms - Project-management and workflow-tracking tools - Digital timesheets, site reports, dashboards, and shared project folders Performance Expectations The successful candidate will be expected to: - Maintain clear, professional, and timely communication with clients and team members. - Proactively manage multiple projects, schedules, budgets, and deadlines. - Demonstrate leadership, accountability, sound judgment, and effective problem-solving. - Maintain accurate and current project and financial records. Identify risks early and take appropriate action to prevent delays and cost overruns.
