Remote Sales Assistant — CRM, Client Engagement & Business Development Support Remote | Engineering / Architecture / Construction | PST Overlap Preferred ________________________________________ Summary Engineering Solver, Inc. is a growing multidisciplinary engineering and design firm providing Architectural, Structural, Civil, and MEP engineering services for residential and commercial projects. We're hiring a proactive, organized, relationship-focused Remote Sales Assistant to help us get significantly more value from our existing CRM database. This role centers on CRM management, client follow-up, reactivating past clients, relationship building, repeat business, and lead nurturing. We already have a database of existing clients, past clients, leads, referral partners, and professional contacts — we need someone to keep it organized and consistently engaged so it generates additional opportunities. This is not a cold-calling-only position; the focus is maintaining relationships with people who already know us, have worked with us, requested proposals, referred business to us, or may have future engineering needs. Reporting & handoff structure: This position reports directly to the CEO/CGO. Your communication with clients and leads is limited to email, text, LinkedIn, and CRM-based messaging — this role does not make or receive phone calls, and does not contact or schedule calls with our internal technical team. When you identify a qualified opportunity, your job is to flag it to the CEO/CGO, who personally takes it from there — reaching out by phone or meeting the prospect in person. Once the CEO/CGO has moved that prospect forward and they're ready to become an active client, the CEO/CGO introduces them to our Executive Assistant / Project Coordinator, who takes over project setup and delivery. You are the relationship-maintenance and pipeline-organization layer between our CRM and the CEO/CGO — not a direct line to phone conversations or technical staff. Your main objective: Make sure valuable relationships in our CRM are never forgotten. You'll systematically follow up with existing and past clients, leads, contractors, architects, real estate professionals, developers, and referral partners to stay connected, uncover upcoming project opportunities, reactivate inactive relationships, generate repeat business and referrals, and flag qualified conversations for the CEO/CGO to pick up. What you'll do: • Own and continuously improve our CRM database — organizing contacts, cleaning duplicates, categorizing leads, logging conversation notes, tracking follow-up dates and lead stages, and making sure every important contact has a clear next action. • Regularly re-engage past and existing clients to check in, ask about upcoming projects, reintroduce our services, and request referrals when appropriate — so Engineering Solver stays top-of-mind. • Follow up on and reactivate stalled leads, past proposals, and postponed projects, tracking why opportunities stalled and identifying which are ready to move forward. • Maintain consistent contact with referral partners (architects, contractors, real estate agents, developers, property managers, and similar professionals), tracking referrals given and received. • Keep the sales pipeline accurate — contact, company, project, stage, last interaction, next action, and next follow-up date for every opportunity — and escalate qualified leads to the CEO/CGO for the next step. • Provide simple, clear weekly reports to the CEO/CGO on contacts reached, clients re-engaged, leads followed up, opportunities identified, and important follow-ups for the coming week. Confidentiality: You will have access to sensitive client, project, and business contact information. All applicants selected for this role will be required to sign a Non-Disclosure Agreement (NDA) before receiving access to our CRM or client data, and must treat all client information as strictly confidential at all times. What you need: Comfort with CRM systems (HubSpot, Zoho, Salesforce, Pipedrive, GoHighLevel, ClickUp, Monday.com, or similar) is important, along with Slack, Google Workspace/Microsoft Office, Excel/Google Sheets, and LinkedIn. We're looking for someone highly organized, proactive, friendly and professional, excellent at follow-up, persistent without being pushy, relationship-oriented, and comfortable managing hundreds or thousands of contacts. Prior experience in architecture, engineering, construction, real estate, or another B2B professional-services environment is a strong plus. Hours & growth: We operate primarily on Pacific Time and prefer candidates with significant overlap with California business hours. This is intended as a long-term relationship, with real potential to grow into a Sales Coordinator, Business Development Coordinator, CRM & Client Success Manager, or Business Development Manager role as you build familiarity with our clients and process. See the Additional Information below for the specific application questions and further detail on the role. ________________________________________ Additional Information Full Scope of Responsibilities CRM Database Management: In addition to general upkeep, you'll be responsible for tracking previous projects and proposals tied to each contact, maintaining accurate lead stages, and identifying inactive or neglected contacts that need attention. Existing & Past Client Engagement: This includes following up after completed projects and making clients aware of the additional services we offer beyond their original scope, so they think of Engineering Solver first for any future Architectural, Structural, Civil, or MEP need. Lead Follow-Up & Reactivation: You'll track the specific reasons opportunities stalled and note which leads may now be ready to proceed, scheduling future follow-ups accordingly. Referral Partner Engagement: Our referral network includes architects, contractors, general contractors, interior designers, real estate agents, developers, property managers, landscape designers, pool contractors, and permit consultants. You'll check in periodically, share information about our services, and identify high-value relationships worth extra attention. Sales Pipeline Management: Every opportunity in the pipeline should also note estimated value, responsible person, and status/probability, so nothing disappears simply because no one followed up. Escalating to the CEO/CGO: When a contact is ready for a real conversation, your role is to package the context clearly and hand it to the CEO/CGO — coordinating their calendar, sending reminders, and confirming meeting details as needed — rather than conducting that conversation yourself. Regular Sales Reporting: Your weekly report to the CEO/CGO should cover contacts reached, past clients re-engaged, leads followed up, new opportunities identified, meetings scheduled, proposals requiring follow-up, referral partners contacted, and opportunities reactivated. Confidentiality & NDA Our client relationships and project information are confidential. Anyone in this role will be required to sign an NDA before gaining access to CRM records, client contact details, or any project-related information, and must handle all such data with strict discretion — both during and after their engagement with Engineering Solver. How would you keep the CEO/CGO updated without overwhelming them with unnecessary detail? 10. What is your current location and time zone, and what hours can you work in Pacific Time? 11. Ideal Candidate & Preferred Experience Strong written communication is essential, since this role works entirely through email, text, LinkedIn, and CRM-based messaging rather than phone calls. We particularly value candidates who understand that sales follow-up is about building genuine relationships, not just sending messages. Experience supporting a B2B professional-services company — especially in architecture, engineering, construction, real estate, design-build, or property development — is especially valuable.
