Summary

We are looking for a full-time remote coordinator to support the daily operations of a growing multi-location home service business. This role sits at the intersection of inside sales, customer service, and field operations support. This is not a task-based assistant role. You will be actively helping run the business day to day. We operate across multiple markets and are continuing to expand. You will support more than one location, especially during growth phases, so you must be capable of managing multiple workflows and staying organized. We have established systems and workflows in place, and you will be expected to follow them consistently. At the same time, this role requires good judgment. Things will come up that are not perfectly outlined, and you should be able to think through situations, make solid decisions, and keep things moving. What You Will Do Daily Morning Routine • Review the day’s job schedule in Jobber and confirm assignments are correct with no gaps or conflicts • Check CRM's and Phone Lines for overnight messages from customers and the field team and respond to anything urgent • Review the CRM for new leads that came in overnight or early morning and begin outbound follow-up immediately • Confirm team has clocked in and are on-site for their jobs and flag any issues Lead Follow-Up and Sales • Outbound follow-up on inbound leads via phone, text, and CRM throughout the day • Provide quotes to prospective customers by phone. This requires real sales ability, not just reading from a script • Answer questions about services, pricing, availability, and scheduling with confidence • Keep CRM pipelines updated with statuses and notes. Customer Communication and Complaint Handling • Handle inbound calls and texts • Manage scheduling changes and general customer questions • De-escalate and resolve complaints professionally based on established SOPs Scheduling and Dispatch • Assign team members to jobs based on availability, location, and job requirements • Monitor job progress in real time and handle scheduling issues as they arise • Relay updates and changes to the field team Other smaller responsibilities you but that is 90% of the job. Tools and Platforms You Will Use • Jobber for scheduling, job management, invoicing, and clock-in tracking • GoHighLevel or similar CRM for lead pipeline management and follow-up • OpenPhone or similar system for all calls and texts • Google Docs and Workspace for SOPs and internal documentation • Lead platforms such as Yelp and Thumbtack • Delivery apps for supply coordination Who We Are Looking For You should have a background in customer service, inside sales, or virtual operations support, ideally in a home services or service dispatch environment. Prior experience with Jobber or GoHighLevel is a strong advantage. We are not looking for someone who needs daily direction. We are looking for someone who looks at the schedule and our lead pipeline, sees what needs to happen, and can execute accordingly. You Should Have • Excellent spoken English. You will be on the phone with customers daily. Clarity, confidence, and professionalism matter • Demonstrated sales or phone-based customer service experience • Familiarity with CRM and field service management software • Strong organizational habits and the ability to juggle scheduling, leads, invoices, and communication • A track record of operating independently and following through consistently • An understanding of SOP-driven environments while still being able to problem solve This Role Is Not a Fit If You • Need heavy oversight or frequent check-ins to stay productive • Change workflows without communicating • Struggle with spoken English on customer calls • Do not have any sales or outbound communication experience Nice to Have • Prior experience in sales, residential cleaning, or home services • Experience supporting payroll or invoicing workflows Compensation $5 to $10 per hour depending on experience. Performance bonuses available. Compensation is negotiable based on experience.
