Researcher / Setup Specialist — Handwritten Letter Mailing System

The Project We're an established U.S. company that wants to start mailing physical, handwritten-style letters to our customers on a regular basis. There are companies out there that produce and mail these letters (real-pen or robotic-handwriting services), and we want to set up a reliable system for doing this at scale. We don't have all the particulars locked down yet — that's part of why we're hiring. We need someone who can research the options, recommend the best provider for our situation, and get the system stood up and running so we can mail on an ongoing basis. This is a research-and-setup project, not a long-term role — but because we plan to mail regularly, there's real potential for ongoing work managing or running the system. Scope / Deliverables Research and compare the viable handwritten-letter mailing services (real handwriting vs. robotic pen, pricing per letter, minimums, turnaround, envelope/stationery options, mail-merge and list-upload capabilities). Recommend the single best provider for our needs and explain why. Determine whether letters can be sent so they appear to come from a local Oklahoma City return address — and ideally carry a local postmark. Clarify what's actually achievable here (custom return address vs. true local postmark) and how to set it up. Set up our account, stationery/letterhead, and at least one working letter template. Build the process for uploading a customer list and sending a batch, and document it so our team can run it going forward. Provide a short written SOP so the system can be repeated without you each time. What We're Looking For Someone who has actually used or set up a direct-mail or handwritten-letter service before (Handwrytten, Simply Noted, IgnitePost, Scribeless, MailLift, or similar) — or can clearly demonstrate they can research and recommend one well. Strong at evaluating vendors on cost, quality, and reliability — not just picking the first result. Organized enough to document a process cleanly so we can hand it to staff. Direct communicator who works independently and doesn't need hand-holding.
