Summary

We're hiring a sharp, detail-oriented Sales Assistant to manage our inbound sales pipeline end-to-end. Our inbound flow has outgrown what the founder can manage solo, and we need someone to own the sales process from first inquiry through booked sales call, with proposal creation in between. You will report directly to the Founder & CEO. What You'll Do: Manage all incoming sales prescreening inquiries as they arrive. Qualify leads, respond promptly, and qualify whether they're a fit before they reach the founder's calendar. Enter and maintain all prospect data in Pipedrive. Keep the CRM clean, current, and properly tagged so the pipeline reflects reality at any moment. Build proposals using our existing templates and Qwilr links- these are already pre built so simple areas to fill in and send. You'll customize scope documents, target media outlet lists, and sales emails based on sales call transcripts and prospect intake forms. Prescreen prospects via email and short intro calls. Confirm budget, timing, vertical fit, and decision-making authority before booking a discovery call with the founder. Schedule and confirm sales calls. Send calendar invites, prep materials, and reminders. Run sales follow-up sequences. Track proposal expiration dates, send check-ins, nudge stalled deals, and keep momentum on every open opportunity. You're a Fit If You Have: Direct experience as a sales coordinator, SDR, or sales assistant, ideally in a service-based business (agency, consulting, professional services). Pipedrive proficiency. You know how to set up pipelines, custom fields, automations, and reporting without needing hand-holding. Strong written communication. Your emails sound professional and editorial, not transactional or robotic. You can match a brand voice. The ability to read a sales transcript and pull out the relevant facts to customize a proposal. Excellent organizational instincts. Nothing falls through the cracks on your watch. Availability during US Eastern Time business hours for real-time inbound response. Tools You'll Be Working In: Pipedrive, Qwilr, Google Workspace, Calendly (or similar), and our internal proposal template library. Engagement Details: Part-time to start with potential to expand. Hourly rate negotiable based on experience. Long-term ongoing role for the right person. We're looking for someone who wants to grow with us, not a one-off project hire.
