Our reputation is built on exceptional food, personalised service and meticulous attention to detail. We believe the client experience begins with the first enquiry. Every email, call, proposal and follow-up should reflect the same standard as the experience we deliver on the day. The Role This is not a general administrative role, an event operations role or a casual side job. We are looking for someone who genuinely enjoys sales, values a structured sales process and takes pride in helping clients make confident decisions. You will manage the client journey from initial enquiry through consultation, proposal, follow-up and booking confirmation. The role is fully remote, with communication taking place via email, telephone and video calls. Applicants may be based anywhere, provided they are fluent in English and Spanish and are regularly available during European business hours. Your Mission Your mission is to provide every prospective client with an exceptional experience while guiding suitable enquiries towards a confirmed booking. Success is measured by the quality of client communication, the progression of qualified opportunities through the sales pipeline, proposal accuracy, consistent follow-up, confirmed bookings, accurate CRM management and improvements to our sales systems and processes. Key Responsibilities Client Communication and Discovery Calls * Respond promptly and professionally to enquiries. * Communicate fluently with clients in English and Spanish. * Conduct discovery calls by telephone or video. * Understand each client’s event, priorities, guest numbers, location, budget and preferred experience. * Ask thoughtful questions and gather all the information required to prepare an accurate proposal. * Explain our services, value and booking process clearly. * Build trust through confident and professional communication. * Handle questions and concerns without applying unnecessary pressure. * Escalate complex events, unusual requests or important pricing decisions to the owner. You should be capable of leading client calls, not simply scheduling them. Sales and Booking Management * Take ownership of the sales process from enquiry to confirmation. * Qualify leads and identify whether the event is a suitable fit. * Prepare, present and explain personalised proposals. * Adjust proposals following client feedback and approved changes. * Follow up until every opportunity reaches a clear outcome. * Guide clients towards approval, contract acceptance and deposit payment. * Protect the company’s pricing, positioning and service standards. * Identify suitable opportunities for additional services, repeat business and referrals. * Work with the owner on high-value enquiries and commercial decisions. You should enjoy the complete sales process: understanding the enquiry, building trust, developing the right solution, following up and closing the booking. Proposal Management * Prepare proposals using GoHighLevel and approved templates. * Create or adjust presentation materials in Canva when required. * Ensure every proposal reflects the client’s needs and the Bistronomy brand. * Check pricing, inclusions, service details and next steps carefully. * Maintain and improve proposal templates. * Record proposal status and client feedback in the CRM. Final pricing, menus and operational commitments remain subject to approval by the owner. CRM and Pipeline Ownership * Manage all enquiries and opportunities in GoHighLevel. * Keep contact details, event information and client notes accurate and up to date. * Move opportunities through the correct pipeline stages. * Create and complete follow-up tasks. * Ensure no suitable enquiry is forgotten or left without a clear next action. * Monitor outstanding proposals and pending decisions. * Produce simple weekly reports covering enquiries, calls, proposals, follow-ups, bookings, deposits and priorities. Systems and Process Improvement * Create and refine email templates, call scripts and qualification checklists. * Improve proposal templates and CRM workflows. * Build simple GoHighLevel automations. * Document recurring sales processes. * Use Google Workspace and AI tools such as Gemini or ChatGPT to improve efficiency while maintaining a personalised and professional standard. * Identify bottlenecks and suggest practical improvements to response times, follow-up procedures and conversion rates. We value systems, but communication must never feel automated or impersonal. Scope of the Role The role focuses on client experience, sales and systems. It does not include responsibility for event staffing, supplier coordination, equipment rentals, menu development, kitchen operations or event-day management. Confirmed client information must be documented clearly and handed over correctly for operational planning. Essential Requirements * Fluency in written and spoken English and Spanish. * Strong client-facing communication skills. * A genuine interest in sales and the sales process. * Confidence in conducting telephone and video consultations. * Experience in sales, account management, customer experience or client relationship management. * The ability to qualify leads and guide clients towards a decision. * Excellent organisational skills, attention to detail and follow-through. * Confidence in using CRM systems and digital tools. * The ability to manage several enquiries and deadlines simultaneously. * The ability to work independently in a remote environment. * A reliable internet connection and a professional environment for client calls. * Regular availability during European business hours.
