That's where you come in. We're looking for a highly organized, detail-oriented Sales Operations Coordinator to join our team for a temporary assignment while one of our teammates is on leave. You'll be the person ensuring inquiries are answered, proposals go out quickly, contracts move smoothly, and opportunities never fall through the cracks. This is a role for someone who genuinely enjoys creating order, improving systems, and helping others succeed. You find satisfaction in checking every detail, keeping projects moving, and knowing your work makes the entire team stronger. You'll work closely with our sales, marketing, and operations teams in a collaborative, kind, and high-accountability environment where people care deeply about both the quality of our work and the way we treat one another. Key Responsibilities: 1. Drive Sales Process & Playbook Execution Execute the sales process according to company processes. Document and refine improvements to the sales process (scripts, proposals, follow-ups) Ensure other teams’ adherence to the process Support other teams’ requests related to the sales process Improve messaging based on what’s working in the market Collaborate with marketing on lead quality and positioning 2. Build, Manage, and Improve the Sales Pipeline Ensure a high quality and predictable pipeline. Monitor conversion rates at each stage Identify bottlenecks and solve them (IDS: Identify, Discuss, Solve) Ensure consistent CRM usage and hygiene 3. Sales Operations Management Review incoming requests on email Follow up with clients with professional emails Coordinate calendars internally with Executive Assistant Prepare sales proposals with fast turnaround Prepare contracts and send to clients for signature Track and report signature progress or delays Facilitate deal handover to the product team Who Thrives Here: Love bringing order to moving pieces and creating reliable systems. Naturally follow through and don't let important details slip. Write thoughtful, professional emails that make clients feel cared for. Enjoy improving processes rather than simply following them. Are comfortable working independently while collaborating closely with a remote team. Take ownership. If something needs attention, you notice it and take action. Proven HubSpot experience. Happy to work independently during US Pacific time hours, 6am-12pm. Skills: HubSpot, Project Workflows, Project Scheduling, Email Communication, Administrative Support, Data Entry, Customer Service, Pandadoc (or any other signing software), Monday.com
