Sales Operations & Outbound Campaign Coordinator About Us We are a growth and outbound consultancy that works primarily with creative agencies, branding firms, web design agencies, marketing agencies, and other service-based businesses. Our focus is helping clients generate qualified sales conversations through highly targeted cold email campaigns using tools such as Instantly, Clay, Apollo, and AI-driven personalization. We are looking for a highly organized Sales Operations & Outbound Campaign Coordinator to help manage the day-to-day operational side of our outbound campaigns. This is not a traditional virtual assistant role. We are looking for someone who understands outbound sales, lead generation, pipeline management, and campaign operations. Responsibilities * Review campaign activity in Instantly * Monitor and organize positive replies * Maintain opportunity tracking spreadsheets * Track follow-ups and important dates * Update lead and opportunity statuses * Identify referrals and alternate contacts from replies * Support client reporting * Assist with lead list management and quality control * Review campaign performance and flag issues * Help maintain campaign organization across multiple client accounts * Assist with onboarding and operational tasks as new clients are added Tools We Use * Instantly * Apollo * Clay * Google Sheets * Slack * OpenAI / ChatGPT * Google Workspace Required Experience * Experience using Instantly * Experience working with cold email campaigns * Experience managing sales pipelines or CRM records * Strong written English * Strong attention to detail * Comfortable working independently * Comfortable reviewing conversations and determining the current stage of an opportunity * Ability to follow SOPs and improve processes over time Preferred Experience * Clay * Apollo * Lead generation agencies * B2B outbound sales * Sales operations * CRM administration * Client reporting Availability This role requires overlap with North American Eastern Time mornings. Applicants must be available during at least part of the following window: 8:00 AM to 5:00 PM Eastern Time Please do not apply if your availability is primarily outside of these hours. The right person should be able to review activity, identify what is important, keep systems organized, and communicate clearly without requiring constant supervision.
