SharePoint / Microsoft 365 Developer for Project Management + Financial Tracking System

We are a 10-person architecture company looking for an experienced SharePoint / Microsoft 365 developer or consultant to help us build and improve an internal system for managing both the project management side and the financial side of our active projects. We already have several SharePoint Lists in place, but we need someone who can review what we have, improve the structure, create additional lists or tools where needed, build automations, set up proper permissions, and help us develop a clean system that is easy for our team to use. The end goal is to create a connected project control system that allows us to track project status, budgets, purchase orders, vendor invoices, client invoices, payments, receipts, team assignments, and client information. Ideally, the system should also produce a simple executive-level dashboard or summary page that shows our projects at a glance. We are calling this page “One Page.” “One Page” should give ownership/leadership a clear snapshot of all active projects, including project status, financial status, key risks, outstanding items, billing status, and other important project information. Existing SharePoint Lists We currently have the following lists: Proposal Register Project Register Project Budget Register PO Register Vendor Invoice Register Client Invoice Register Payments & Receipts SWDS Team Client Register We would like the selected contractor to evaluate these lists and help determine whether they should be improved, connected, consolidated, expanded, or supported with additional tools. Additional System Needs We would like to add or develop: Project Management Tracking A system, list, or other SharePoint/Microsoft 365 solution that allows our project managers to update active project information as they work. This may include project status, phase, deadlines, current issues, next steps, responsible parties, and client/project notes. Financial Project Management Tracking A separate financial project management view or list that only leadership has access to. This should show the financial status of each active project, including budget, purchase orders, vendor invoices, client invoices, payments, receipts, outstanding balances, and financial risks. One Page Dashboard A single-page project overview/dashboard that combines project management and financial information into a clear, high-level view for ownership/leadership. This may be built using SharePoint, Microsoft Lists, Power BI, Power Automate, or another appropriate Microsoft 365 tool, depending on the contractor’s recommendation. Automations We are interested in automations that may help with reminders, status updates, overdue invoices, missing information, project phase changes, approvals, notifications, or other project/financial workflows. Permissions and Sharing Protocols The contractor must understand SharePoint permissions and sharing protocols. Some information should be visible to project managers, while financial information should be restricted to leadership only. Responsibilities The selected contractor will be expected to: Review our existing SharePoint Lists and current structure Recommend the best architecture for our project and financial management system Improve existing lists and create new lists where needed Link related data across registers/lists Create project management workflows for active projects Create financial tracking workflows for active projects Build dashboards, filtered views, and summary pages Develop the “One Page” executive project overview Set up appropriate permissions and access controls Create Power Automate workflows where useful Advise whether SharePoint Lists, Microsoft Lists, Power BI, Power Apps, or other Microsoft 365 tools are best suited for each part of the system Document the system so we can maintain and expand it after the project is complete Provide guidance on best practices for ongoing use by our team Required Skills The ideal candidate should have strong experience with: SharePoint Online Microsoft Lists Power Automate SharePoint permissions and sharing settings Microsoft 365 business workflows Data relationships between SharePoint Lists Dashboard creation Project management systems Financial tracking systems Power BI and/or Power Apps, if appropriate Workflow design and business process mapping Clean, user-friendly system design Preferred Experience Please apply only if you can show experience building similar systems, especially systems involving: Project registers Budget tracking Purchase order tracking Vendor invoice tracking Client invoice tracking Payment tracking Executive dashboards Role-based permissions Project management workflows Financial reporting dashboards Experience working with architecture, design, construction, consulting, engineering, or other project-based businesses is a plus. Deliverables Expected deliverables may include: Review and assessment of existing SharePoint Lists Recommended system architecture Updated and/or new SharePoint Lists Connected project and financial tracking structure Project Management List or equivalent tool Financial Project Management List or equivalent tool “One Page” dashboard or executive summary page Automations and alerts where appropriate Permission structure separating team access from leadership-only financial access Documentation and handoff instructions Training or walkthrough session Application Instructions When applying, please include: Examples of similar SharePoint / Microsoft 365 systems you have built A brief explanation of how you would approach this project Your experience with SharePoint Lists, Power Automate, Power BI, and Power Apps Your experience setting up permissions and role-based access Any recommendations you already have based on the description above Your estimated timeline for an initial review and system plan We are looking for someone who can think through the system, not just execute tasks.
