ShipStation + Shopify Expert Needed for Shipping Audit & Cost Optimization

We are looking for an experienced ShipStation + Shopify shipping expert to perform a comprehensive audit of our current shipping operation and identify opportunities to reduce shipping costs, improve automation, and streamline our fulfillment and returns process. This is an important project for our company. We are an established e-commerce business with meaningful shipping volume, so we are looking for someone who has real-world experience managing and optimizing ShipStation for a high-volume Shopify store. This is NOT a general Shopify or virtual assistant position. We need someone who understands the shipping side of e-commerce and can look at our current setup and tell us what we should be doing differently. What We Need 1. Complete ShipStation Audit Review our entire ShipStation account, including: Account configuration Shopify integration Stores and order imports Products Package types Shipping services Carrier accounts Shipping presets Tags Automation rules Rate shopping Shipping settings Return settings User settings Any other relevant ShipStation configurations Identify anything that is: Incorrect Outdated Redundant Costing us unnecessary money Creating unnecessary manual work Not being utilized correctly Missing an opportunity for automation We want you to look at the account as if you were taking over responsibility for our shipping operation. 2. Shipping Cost Optimization This is one of the MOST important parts of the project. I want you to analyze our current shipping costs and determine where we can save money. Please evaluate: USPS UPS FedEx Other relevant carriers ShipStation negotiated rates Our own carrier accounts Rate shopping Service-level selection Package dimensions Package weights Dimensional weight Residential delivery charges Zone differences Surcharges Oversize/handling fees Any other costs that may be impacting our shipping expense We want to know: Are we getting the best possible shipping rates for our business? If not, I want specific recommendations. For example: "Use USPS Ground Advantage for these shipments." "Use UPS for these shipments." "Your current package dimensions are increasing your cost." "You should negotiate your UPS rates." "ShipStation's rates are better than your current carrier account." "You are paying for a service you don't need." Don't simply tell us what is configured correctly. I want you to find opportunities to save money. 3. ShipStation Automation Audit Review every existing automation rule. Determine: Which rules should stay Which should be changed Which should be deleted Which rules are redundant Which rules conflict with each other Which new rules should be created We want to automate as much of the fulfillment process as reasonably possible. Look at automation based on: Product SKU Order value Weight Destination Shipping method Package type Customer order type Tags Carrier Service level Domestic vs. international Any other relevant criteria The goal is to reduce manual decisions and make sure the correct shipping method is selected automatically. 4. Return Label Optimization We currently want to explore pay-on-use/pay-on-scan return labels. I want you to determine: Which carriers offer the best option Whether we can use pay-on-use return labels Which return-label method makes the most financial sense Whether we are currently paying for unused return labels How we should structure our return-label workflow Whether USPS, UPS, FedEx, or another provider makes the most sense Please provide a specific recommendation for how you would structure our return-label process. 5. Shopify + ShipStation Integration Audit the connection between Shopify and ShipStation. Review: Order data Shipping methods Shipping-service mapping Product/SKU information Tags Order routing Fulfillment status Tracking information Any integration issues Any unnecessary Shopify apps or workarounds affecting shipping Identify anything that could be improved or simplified. 6. Shipping Workflow Please look at the entire process from: Shopify order → ShipStation → rate selection → label creation → fulfillment → tracking → returns We want to identify: Unnecessary steps Manual work Errors Opportunities for automation Opportunities to reduce costs Opportunities to improve the customer experience I want someone who will think about the entire system—not just individual ShipStation settings. Deliverables At the end of the initial audit, I want: 1. Written Audit A clear report explaining: What is currently configured What is working What is not What should be changed Why it should be changed Estimated impact/cost savings where possible 2. Shipping Cost Recommendations A prioritized list of the biggest opportunities to reduce shipping costs. Please identify the changes that could have the largest financial impact first. 3. Automation Plan A list of: Automations to keep Automations to modify Automations to delete New automations you recommend 4. Carrier Strategy A recommended carrier/service strategy based on our actual shipping profile. 5. Return Label Strategy A specific recommendation for implementing pay-on-use return labels. 6. Implementation Plan A step-by-step list of what you recommend we change. After we approve the recommendations, we may hire you for a second phase to implement the changes. 7. Documentation Please provide a Loom video or similar walkthrough explaining your findings and recommendations. Ideal Candidate You should have significant hands-on experience with: ShipStation Shopify ShipStation Automation Rules Shipping rate optimization USPS UPS FedEx E-commerce fulfillment Return labels Rate shopping Shipping cost analysis Shopify/ShipStation integrations Strong preference for someone who has worked with high-volume Shopify stores. Experience with negotiated carrier rates and shipping contracts is a major plus. Important We are NOT looking for someone who simply knows how to create a shipping label in ShipStation. We are looking for someone who understands the business economics of shipping. You should be comfortable looking at our data and saying: "You're spending too much money here, and here's what I would change." We want someone who will challenge our current setup and identify opportunities we may not know exist. To Apply Please answer the following questions. Generic applications will not be considered. How many ShipStation accounts have you personally audited or optimized? Approximately how many shipments per month have you managed or optimized? Give me one specific example of how you reduced a company's shipping costs. What experience do you have with USPS, UPS and FedEx? Have you worked with ShipStation's Automation Rules? Give an example of a complex automation you built. Have you worked with pay-on-use/pay-on-scan return labels? If yes, explain your experience. Have you compared ShipStation rates against a company's own negotiated UPS/FedEx rates? Have you analyzed shipping data to determine which carrier/service is actually the least expensive? What information would you need from us to perform this audit? How many hours do you estimate the initial audit will require? What would you charge for the initial audit? Please provide an example of a ShipStation/Shopify project you have completed that is similar to this one. Project Structure We would like to start with a paid audit/assessment. If the audit demonstrates that you are the right person for the project, we are open to continuing with you to implement the recommended changes and potentially provide ongoing shipping optimization support. We are looking for a long-term relationship with the right expert, but we want to start by making sure there is a strong fit.
