Shopify B2B Wholesale Portal - Build & Integration Specialist

My client, a boutique specialty food & beverage brand (artisan tea producer and retailer) looking for an experienced Shopify B2B developer to complete and extend our existing wholesale ordering portal. The foundation is partially built — we need someone who can identify gaps, solve complex integration requirements, and deliver a reliable end-to-end wholesale workflow without disrupting our retail operations. What Exists Already A Shopify B2B login portal for approved wholesale accounts A wholesale product catalog with pricing correctly set Variant-level visibility rules (wholesale-only and retail-only SKUs are separated) Checkout supporting credit card, ACH, and net terms payments Integration with QuickBooks Online (QBO) via Zapier Integration with ShipStation for shipping labels and tracking sync What We Need Built or Solved 1. Lot Number Tracking Lot numbers must be captured at the line-item level on each wholesale order Lot numbers change over time but must be preserved historically — a lot # update cannot overwrite past transactions We need a report capability: which lot #s of which products were sold to which customers, for any date range The inventory system under consideration (Peasy) will hold lot # data; the solution must accommodate this sync 2. Custom Fulfillment Fields per Account (5 fields) Each wholesale account has 5 operational data points that our fulfillment team needs visible on pick/pack lists and packing slips. These currently live in QBO customer profiles. We need: A mechanism for new accounts to submit this information (onboarding flow or form) Storage of these fields at the account level in Shopify (or a connected system) These fields visible on pick/pack lists and packing slips generated from orders The 5 fields are: UPC Required: Yes/No — does this customer need UPC labels on their order? Delivery Preference: Shipped (boxed for carrier), Local Delivery (boxed for in-town delivery), or Pickup Bagging Preference (AFBAP): "As Few Bags As Possible" — can the team consolidate units into one larger bag, or must each unit be bagged separately as ordered? County: For targeted marketing segmentation Account Type: For product/marketing segmentation and customer mix reporting 3. Wholesale-Specific Shipping Options Wholesale shipping options differ from retail. The solution must support: Local delivery (flat fee, restricted to specific delivery zone) Travel delivery (flat fee, available only when we are traveling to a given area — this is toggled by us, not always available) FedEx / UPS / USPS carrier options Warehouse pickup Faire and Airgoods marketplace order handling (see below) 4. Faire & Airgoods Marketplace Order Integration We receive wholesale orders via Faire and Airgoods that need to be handled inside our Shopify/QBO workflow. Specific requirements: Variable commission and processing fee deductions at the invoice level Shipping via Faire's carrier (for applicable orders) — this is customer-dependent Line-item price adjustments at invoice level for items priced differently on these platforms Clear tracking of these orders as marketplace-sourced in QBO 5. Accounts Receivable & QBO Sync AR must remain in QBO (Shopify is not the system of record for AR) Orders placed with net terms must create an open invoice in QBO automatically Orders paid by card/ACH must create a paid invoice in QBO automatically Tracking numbers from ShipStation must sync to the QBO invoice (carrier + tracking #) Shipping cost must be capturable on the invoice after fulfillment When payment is received against a terms invoice, this must be reflectable in Shopify as well The ideal integration flow: Paid orders (card/ACH): Shopify order → Peasy (lot # captured) → QBO invoice marked paid → fulfilled via Shopify Terms orders: Shopify order → Peasy (lot # captured) → open QBO invoice → fulfilled → payment captured in QBO → Shopify order updated as paid 6. Transactional Email Routing All wholesale order communications (confirmations, invoices, packing slips) must send from a specific email address (orders@), not the default store email used for retail (website@). Confirm this is achievable and implement it. 7. Login / Authentication Improvement Current login uses a magic link / one-time code system. We need this changed to a standard email + password authentication so that multiple team members at a wholesale account can log in independently with their own credentials. 8. Invoice Printing & Packing Slips Packing slips must print cleanly from within the workflow (Shopify or connected system) The 5 custom fulfillment fields above must be visible on the packing slip Lot numbers must be visible on the packing slip 9. Volume Pricing / Price Breaks There are 2 volume-based price breaks on bulk unit sizes. The current implementation has edge-case issues around unit conversion (grams vs. lbs) at break points. We need this logic reviewed, confirmed correct, and documented. 10. One-Off Account Pricing & Custom SKUs One account has individualized pricing (a discount percentage) — this must be manageable without creating a separate price list One large account has white-label / custom SKUs that are not listed in the public wholesale catalog. We need the ability to invoice for products outside the catalog for this account. Systems & Stack E-commerce: Shopify (B2B / Plus) Accounting & AR: QuickBooks Online Inventory / Lot Tracking: Peasy (under evaluation — implementation may be concurrent) Shipping: ShipStation Marketplace channels: Faire, Airgoods CRM / Email: HubSpot, Mailchimp Automation: Zapier (existing) What We Are NOT Changing Single shared inventory pool (retail and wholesale draw from the same stock — this must be preserved) No sales tax requirements (Montana, no state sales tax) No credit limits per account No POS wholesale workflow needed Ideal Candidate Proven experience building or extending Shopify B2B / wholesale portals, specifically on Shopify Plus or Advanced Hands-on experience with Shopify QBO integration (native connector or third-party) Experience with ShipStation API or Zapier-based fulfillment automation Comfortable working with Peasy, SOS Inventory, or comparable inventory/lot tracking tools connected to Shopify Familiarity with Faire or Airgoods order sync is a strong plus Ability to scope clearly, flag risks early, and communicate in plain language with non-technical stakeholders Please include in your proposal: If you actually read it, add the keyword "banana" at the beginning of your application 1-2 examples of Shopify B2B builds you have delivered (screenshots or live URLs if possible) Your recommended approach for lot number tracking given the historical preservation requirement How you would handle the Faire/Airgoods order and fee deduction flow Your proposed solution for the 5 custom fulfillment fields and how they surface on packing slips Estimated hours or fixed price range, broken down by workstream if possible
