Shopify Operations + Virtual Assistant Executive Support

The Role We are a small, founder-led fashion accessories brand looking for a sharp, proactive Virtual Assistant to support the founder directly and manage day-to-day Shopify operations. This is a dual-lane role: part executive support, part e-commerce operations. You will be the operational backbone of a fast-moving brand, working closely with the founder to remove friction, keep things running, and ensure nothing falls through the cracks. Part-time ongoing role, approximately 10-15 hours per week, with room to grow. What You'll Own Executive Support Inbox management: triage, draft responses, handle routine communications in the founder's voice Calendar ownership: schedule meetings, protect focus time, coordinate across time zones Travel logistics: research and book flights, hotels, and transfers across Europe and internationally Admin and invoicing: track and file invoices, chase payments, maintain basic records Shopify & Customer Service Own full store operations: product listings, variants, inventory, collections, and imagery Handle all customer communications: orders, shipping, tracking, returns, and exchanges Write and optimize product descriptions with SEO best practices Manage basic on-page SEO: meta titles, meta descriptions, alt tags, URL structure Administer backend settings, apps, and integrations as needed Identify and flag technical issues to the development team Pull regular reports on sales, returns, and store performance for founder review What We're Looking For Solid, hands-on Shopify experience, you have owned a store end-to-end, not just assisted Proven track record managing product listings, customer communications, and store administration independently Working knowledge of Shopify SEO and e-commerce best practices Experience with fashion, lifestyle, or luxury brands strongly preferred Excellent written English, Italian is a strong plus Extremely organized, proactive, and comfortable working with a founder who moves fast and thinks non-linearly Someone who sends updates without being asked and anticipates problems before they happen Discreet and professional Tools You Should Know Shopify (advanced), Google Workspace, Google Search Console or similar SEO tools. Familiarity with Notion or similar is a plus.
