About This Project: I'm the owner of a growing luxury medical spa, and I'm building something much larger than a collection of SOPs or automations. My long-term vision is to create a scalable business operating system that combines patient experience, employee workflows, KPIs, reporting, automation, and AI into one cohesive ecosystem Current Technology: Today my business uses: Mindbody for scheduling, payments, memberships, and patient records. Weave (currently being implemented) for phone, texting, email, and patient communications. TOOL, a custom Google Sheets-based operations platform that I'm building to manage SOPs, workflows, daily task lists, provider accountability, and KPIs. At this stage, TOOL is intentionally manual so the workflows can be refined before automation. Current Stage of the Project: Most of my workflows are still manual by design. My philosophy is to build the business correctly first and automate it second. Rather than rushing into AI or automation, I want to ensure the underlying operational processes are efficient, repeatable, and scalable. An AI concierge ("Chloe") is planned for a future phase, but implementation has intentionally been postponed until the business architecture is complete. I believe the best automation comes from great business processes—not the other way around. What I'm Looking For: I'm NOT looking for someone to immediately build software. I'm looking for an experienced Business Systems Architect / Solutions Architect who can help me design the blueprint for my entire business ecosystem before development begins. I need someone who enjoys asking thoughtful questions, understanding business operations, and designing systems that scale. Initial Deliverables: The first phase of this project includes: * Reviewing my current workflows and SOPs. * Understanding how Mindbody, Weave, and TOOL should work together. * Designing system architecture and data flow. * Identifying which processes should remain manual and which should eventually be automated. * Creating an implementation roadmap with clear development priorities. * Providing recommendations for future integrations, including AI. How We Will Work Together: I have already invested significant time documenting workflows, patient journeys, follow-up sequences, KPIs, provider expectations, and operational processes. I am looking for someone who can organize those ideas into a clear, scalable architecture. I value collaborative discussions, strategic thinking, and honest feedback. I don't expect you to simply agree with my ideas—I want someone who can challenge assumptions, identify risks, ask the right questions, and recommend better solutions when appropriate. This is the first phase of what I expect to be a multi-phase project. If we're a good fit, I'd love to continue working together as we move from architecture into implementation.
