Speaker Booking Manager / Conference Proposal Specialist

We are hiring an experienced Speaker Booking Manager and Conference Proposal Specialist to identify, research, submit, and follow up on paid speaking opportunities for a professional speaker, trainer, financial literacy consultant, leadership coach, and burnout-prevention strategist. This is not a basic virtual assistant or data-entry position. We need someone who can think strategically, understand the U.S. conference and professional-speaking industry, evaluate opportunities, customize proposals, and manage the booking process from initial research through final follow-up. Responsibilities * Research conferences, summits, associations, corporations, schools, nonprofits, government agencies, and professional-development events * Identify paid keynote, workshop, breakout-session, panel, training, and facilitation opportunities * Review each event’s mission, theme, audience, agenda, previous speakers, sponsors, and submission requirements * Determine whether the opportunity is a strong fit before submitting * Recommend the strongest presentation topic for each event * Clearly explain why the selected topic fits the conference better than the speaker’s other available topics * Customize presentation titles, session descriptions, biographies, learning objectives, and proposal responses * Identify conference organizers, program directors, education directors, event planners, and speaker decision-makers * Locate and verify professional contact information * Submit complete and accurate proposals before deadlines * Save submission confirmations, screenshots, application copies, and supporting documents * Send professional follow-up emails to conference planners and decision-makers * Track all opportunities in one organized Excel sheet * Provide weekly reports covering research, submissions, follow-ups, responses, meetings, and bookings * Maintain accurate next-action dates so no opportunity is forgotten * Assist with speaker-fee, travel, hotel, registration, and event-term negotiations when needed What Must Be Included in the Excel Tracker Each opportunity should include a clear executive summary showing: * Conference and organization name * Event date and proposal deadline * Website and direct application link * Conference mission and theme * What the conference is known for * Primary audience * Main audience problem or need * Recommended presentation topic * Why that topic was selected * Why the speaker is a strong fit * Evidence supporting the recommendation * Paid, unpaid, or unknown compensation status * Estimated speaker budget when available * Decision-maker name, title, and verified contact information * Proposal status * Submission date * Next follow-up date * Next action * Final outcome The purpose of the tracker is to help leadership quickly understand whether the opportunity is worth pursuing. We do not need dozens of unnecessary columns or copied website content. Ideal Candidate You should have experience in one or more of the following areas: * Speaker booking * Conference proposal submissions * Event planning * Public relations * Business development * Sales outreach * Executive assistance * Lead generation * Proposal writing * Professional research You must also have: * Excellent written and spoken English * Strong understanding of professional U.S. business communication * Experience working with U.S.-based clients * Strong online research skills * Excellent attention to detail * The ability to meet deadlines without constant reminders * Experience with Microsoft Excel or Google Sheets * The ability to write customized content rather than copying and pasting * Confidence communicating with event planners and organizational leaders * The ability to work independently and make sound recommendations Preferred Experience Preference will be given to candidates who have: * Previously booked speakers, coaches, trainers, consultants, or entertainers * Submitted conference or call-for-speaker applications * Researched U.S. associations, corporations, school systems, nonprofits, and professional events * Communicated directly with conference organizers * Negotiated speaking fees or travel arrangements * Experience with topics related to leadership, financial literacy, emotional intelligence, burnout, education, entrepreneurship, workforce development, or personal growth This Position Is Not a Fit If You * Only know how to collect names and links * Submit the same proposal to every conference * Use generic statements such as “the speaker will inspire the audience” * Cannot explain why a conference is a strong fit * Do not research the conference mission, audience, or previous programming * Need repeated reminders to follow up * Focus primarily on unpaid or pay-to-speak opportunities * Miss deadlines or submit incomplete applications * Depend entirely on artificial intelligence without reviewing or improving the work Performance Expectations Your performance will be measured by: * Quality of conference research * Number of qualified paid opportunities identified * Number of accurate proposals submitted * Proposal customization quality * Follow-up consistency * Event-planner response rate * Meetings or interviews secured * Paid speaking engagements booked * Total speaking revenue generated * Accuracy and organization of the Excel tracker Application Instructions Please include the following in your application: 1.
