We are looking for an experienced SuiteDash Expert to help us set up a clean, efficient, and scalable basic system. The goal is to build a structured workflow from New Client → Onboarding to the portal → Advisor Assignment → NDA Signing → Secure Client Portal → Document Sharing → Milestone / Task Visibility. Our primary focus is to build an MVP (minimum viable product) that enables the business to enhance customer service and support through dedicated landing pages for different service offerings. For example, the Entry Level tier would have one client landing page, Signature Access would have another, and VIP Advisory would have another. This would be built on the customizable, white-label version of the SuiteDash platform, tailored to suit the requirements listed below. --- PROJECT OBJECTIVE We want to create a basic but polished SuiteDash environment that allows us to support entrepreneurial and advisory clients through dedicated landing pages, secure document access, advisor communication, NDA signing, and simple project/milestone visibility. The system should be designed around repeatable templates and a scalable structure, not one-off custom pages for each client. The MVP should support different client experiences based on the service offering or program tier. Each program should have its own landing page, secure document structure, advisor/team contact area, client communication path, NDA signing step, and basic milestone/task visibility. At minimum, we want three program-based client experiences built: - Entry Level - Signature Access - VIP --- PROJECT SCOPE 1// SuiteDash Architecture and Setup We want the setup to be easy to understand and maintain. The freelancer should avoid creating a “Frankenstein” system with too many one-off pages, disconnected workflows, duplicated logic, or manual workarounds. The structure should be built so future clients can be onboarded using the same repeatable setup. Create a simple, scalable structure for the portal, including: - Client/company records - Client roles and permissions - Program or service-offering categories - Advisor/team assignment structure - Client-facing portal areas - Internal staff/admin access considerations - Structure required to support future automation from external systems 2// White-Label Client Portal Configuration Configure the SuiteDash environment so the client-facing experience is clean, professional, and easy to navigate. The end-user experience should feel polished, simple and easy to use. This should include: - Client-facing navigation - Simplified client menu - Clean landing page layout - Professional portal experience - Removal or hiding of unnecessary clutter where possible - Clear client facing language and logical navigation 3// Program-Based Client Landing Pages The landing pages should be built as repeatable structures that can later be duplicated or adapted for additional program tiers. The freelancer is not being asked to write final program content or create consulting resources. We need the structure, sections, placeholders, buttons/links, visibility rules, and update-friendly layout configured so that we can make minor copy and content updates internally. Create a repeatable landing page structure for three client program tiers: - Entry Level - Signature Access - VIP Each landing/start page should include: - Clear “Start Here” or welcome section - Program overview - Key next steps - Assigned advisor, team, or client support contact information - Secure message / request support option - Links to the client’s secured document area - Simple project/milestone visibility - Ability to send quick messages to communicate with their advisor Each landing page should include access points or links/buttons for: - NDA / Legal Documents - Contracts & Agreements - Invoices & Receipts - Reports & Deliverables - Client Uploads - Program Resources 4// Secure Client Document Area Set up a secure and organized file structure for each client. The file structure must be permissioned correctly so that each client can only access their own confidential documents and any program resources specifically intended for them. Client-specific folders must remain private to the individual client/company and the appropriate Paragon internal team members. Program resources may be shared by program tier where appropriate, but confidential client documents must never be shared broadly. At minimum, each client should have access to folders such as: - NDA / Legal Documents - Contracts & Agreements - Invoices & Receipts - Reports & Deliverables - Meeting Notes - Client Uploads - Program Resources 5// NDA Signing Workflow The file structure must be permissioned correctly so that each client can only access their own documents and any resources specifically intended for them. The NDA signing workflow should be repeatable and should not require a new custom process for every client. - The NDA must be created as a SuiteDash Document or equivalent in-platform eSignature document. - The client must be able to review and sign the NDA inside SuiteDash. - Once signed, the signed NDA must be stored in the client’s secure document area and visible to the appropriate Paragon internal team. - Portal access should be restricted until the NDA step is completed, where SuiteDash supports this cleanly through FLOWs or access controls. 6// Client Onboarding Structure The MVP must be designed to support automated or automation-ready onboarding. Manual admin override is acceptable as a backup, but it should not be the primary onboarding method for Entry Level or Signature Access clients. We are using an external Onboarding Command Centre, as the operational onboarding tracker, so zapier can be used to connect it to SuiteDash. The SuiteDash-side setup must be able to support onboarding data coming from this external source. The freelancer will only need to configure SuiteDash to be prepared to receive and act on onboarding data. ** Please note: The freelancer should clearly document which SuiteDash fields, tags, Circles, roles, automations, FLOWs, or configuration elements are required so that our integration can pass the right values. Based on the information shared, SuiteDash should be configured to support: - Client/contact/company profile creation or update - Correct program tier assignment - Correct role, Circle, group, tag, or equivalent visibility category - Correct advisor or Paragon team assignment - Correct landing/start page - Correct onboarding FLOW or equivalent onboarding path - NDA signing step - Correct secure document structure - Access only to the correct portal areas, documents, resources, and communication channels 7// Advisor / Team Assignment Structure The SuiteDash setup must support advisor or team assignment by program tier. The assigned advisor or team should be visible in the client portal where appropriate, and internal Paragon users should be able to identify who owns the relationship or next action. The intended model includes three settings: Entry Level: - Default predetermined advisor/team assignment. Signature Access: - Advisor/team assignment based on predefined rules from the external Onboarding Centre. SuiteDash should receive the assignment and reflect it in the client’s portal experience. VIP Advisory: - Manual advisor/team assignment by a Paragon Advisor or authorized internal team member. The freelancer will need to advise if this is something that needs to be done inside of SuiteDash or through the external Onboarding Command Centre. 8// Client Communication Requirements Clients must be able to communicate with Paragon from inside the SuiteDash portal in a simple and mobile-friendly way. The client landing page should also clearly state that clients may communicate through SuiteDash or through the appropriate direct email address provided by Paragon. The freelancer should configure this using SuiteDash’s native messaging, secure messaging, support tickets, team assignment, roles, Circles, or workflow features where possible. If exact routing is not possible natively, the freelancer must identify the limitation and recommend the cleanest maintainable configuration. At minimum, the portal must include a clear option for the client to: - Send a secure message - Provide details / information - Upload a file - Request a call from their advisor or support team Messages or support requests should route based on program tier and/or assigned advisor/team. So, the routing of the messages should be based on the program tier (e.g., Entry, Signature, or VIP) 9// Project / Milestone Visibility Each client program experience should include simple visibility into their engagement progress. The goal is not to build a complex project management system at this stage. The goal is to help clients understand: - Where they are in the process (current status) - What is coming next (actions or milestones) - What actions are required from them - What has been completed The freelancer should configure project/milestone visibility in a way that can be reused for future clients. This may include native functionality like: - Program phases - Key milestones - Upcoming tasks - Client responsibilities - Timeline or Gantt-style visibility, where appropriate - Reusable project/task templates for each of the three MVP program tiers 10// Internal Notifications and Follow-Up Visibility The SuiteDash configuration should support internal visibility for Paragon team members when a new client is onboarded. The setup should help Paragon manage client follow-up without relying on informal email chains or manual tracking. The desired setup should allow Paragon to see: - New client created - Program tier - Payment/onboarding status - Advisor/team assignment - NDA status - Portal invite/welcome status - Required internal follow-up action - Scheduled email to senior leadership about new clients who have onboarded 11// Testing and Permissions Review Before handoff, the freelancer must test the setup using dummy/test client accounts for each of the three MVP program tiers. Testing must confirm: - Each test client lands on the correct program-specific page - Each test client only sees the documents and resources intended for them - Each test client can access the correct secure document area - Each test client can complete the NDA signing process - Signed NDAs are stored in the correct location - Each test client sees the correct messaging/support option - Messages or support requests route according to the intended program/team structure - Internal users can access the correct client records and documents - Program-specific landing pages can be duplicated or adapted without rebuilding from scratch - The setup can support onboarding data 12// Documentation and Training We would like a short handoff guide and training session so we are able to make small changes ourselves after the initial setup. The handoff should include how to: - Review or add a new client - Confirm that onboarding data has populated correctly - Assign or confirm the client’s program tier - Confirm advisor/team assignment - Confirm the correct landing/start page - Upload contracts, invoices, reports, and deliverables - Review signed NDAs - Confirm client permissions - Update landing page copy or placeholders - Use the project/milestone templates - Confirm client communication routing - Troubleshoot common onboarding issues - Avoid breaking permissions or visibility settings --- WHAT SUCCESS MEANS TO US - Working with someone who is knowledgeable and able to communicate their progress, recommendations and feature limitations of SuiteDash proactively and consistently. - We are looking for the freelance to understand that this is an MVP build, but it must be designed with future scalability in mind. (we will be looking to expand features and functionality in the future). - We are not looking for someone to create a one-off portal that only works for one client. - We do not want a cluttered setup with too many disconnected pages, manual workarounds, duplicated logic, or fragile customizations. - We are not looking for a freelancer to redesign our full business model, write all program content, or create a full implementation at this stage. QUALIFICATIONS If you have experience with SuiteDash creating an easy-to-use view for end-users, and can provide a portfolio showcasing your previous work, we would love to see it. Your knowledge, communication skills, and attention to detail will be essential in bringing our vision to life. COMPENSATION Fixed rate contract: depending on experience.
