AI Talent Operations Coordinator We're building an AI-first hiring process and are looking for an exceptionally organized Talent Operations Coordinator to help us run it. This is not a traditional recruiter role. Instead, you'll own the operational side of recruiting—keeping searches moving, coordinating candidates, leveraging AI, and ensuring a first-class candidate experience from application through interview. We're a Canadian entrepreneurial holding company with businesses in technology, franchising, marketing, staffing, and AI. We typically have 1–2 active searches running at any given time, but we're constantly looking for exceptional talent. Our goal is to build a world-class recruiting operation, and we want someone who enjoys creating order from complexity. Your Responsibilities You will own the day-to-day recruiting workflow, including: Creating and managing job postings (primarily LinkedIn, occasionally other platforms) Reviewing applications and identifying promising candidates Using ChatGPT and other AI tools to summarize resumes and assist with candidate evaluations Sending and tracking Spark Hire video interview invitations Administering Caliper assessments Following up with candidates to keep searches moving Coordinating interview schedules with candidates and our leadership team Managing calendars and interview logistics Maintaining accurate recruiting records and candidate pipelines Improving recruiting processes over time through automation and AI Our leadership team will conduct the final interviews and make all hiring decisions. Your role is to ensure the process is efficient, organized, and delivers an exceptional experience for every candidate. The Person We're Looking For You are someone who genuinely enjoys building systems and keeping everything organized. You don't let details slip through the cracks. You proactively follow up, communicate clearly, and take ownership of getting things done. You are comfortable working independently and enjoy improving processes rather than simply following them. Experience coordinating recruiting activities is an advantage, but we're more interested in exceptional organizational ability, sound judgment, and a strong work ethic than decades of recruiting experience. Requirements We're looking for someone with: Outstanding organizational skills Excellent written and spoken English Experience coordinating multiple moving pieces simultaneously Strong attention to detail Confidence working with executives and senior candidates Experience using AI tools such as ChatGPT Experience with Google Workspace or Microsoft Office A reliable internet connection and professional home office Experience with LinkedIn Recruiter, Spark Hire, Caliper, or applicant tracking systems is an advantage but not required.
