We are building a reliable virtual support team for an online medical practice that provides disability evaluations and medical documentation services. We are seeking a detail-oriented, professional, and compassionate Virtual Assistant to help guide patients through the evaluation process. This position involves patient communication, appointment coordination, medical record collection, file preparation, email management, and administrative follow-up. You will work closely with patients, physicians, and other members of our administrative team. The ideal candidate is organized, comfortable speaking with patients by phone, able to follow detailed workflows, and committed to protecting confidential medical information. Primary Responsibilities The Virtual Assistant will help manage patients from the time they request an evaluation until their completed documentation is delivered. Responsibilities may include: Calling patients to follow up on incomplete registrations or pending documentation Helping patients create an account and complete the online intake process Assisting patients with scheduling or requesting an appointment Confirming that required payment information has been entered Monitoring incoming appointment and evaluation requests Sending patients the appropriate intake forms, consent forms, and instructions Requesting and collecting relevant medical records Organizing patient files so they are complete and ready for physician review Identifying missing information and following up with patients promptly Directing emails and patient questions to the appropriate team member Tracking each patient’s progress through the evaluation process Confirming that completed medical documentation has been sent to the patient Maintaining accurate internal notes and status updates Escalating clinical questions or unusual situations to the physician Protecting patient privacy and handling confidential information appropriately Patient Workflow The general workflow is: A patient registers online. The patient requests a disability evaluation. The patient completes the intake process and enters payment information. Our team receives notification of the request. The Virtual Assistant reviews the account for missing information. Required paperwork and instructions are sent to the patient. Medical records and supporting documentation are collected. The patient’s file is organized and prepared for physician review. The physician evaluates the patient and reviews the submitted records. The completed medical documentation is processed and delivered to the patient. The Virtual Assistant confirms completion and documents the final status. The physician is responsible for all medical decisions, clinical evaluations, and approval of medical documentation. The Virtual Assistant’s role is to keep the administrative process organized, accurate, and moving forward. Qualifications The ideal candidate should have: Strong written and spoken English Excellent attention to detail Professional telephone and email communication skills Experience providing customer service or patient support The ability to follow written procedures and detailed workflows Strong organizational and time-management skills Comfort working with online scheduling, email, document-management, and patient-record systems The ability to manage multiple patient files without losing track of deadlines Good judgment regarding when an issue should be escalated A dependable internet connection and a quiet environment for patient calls Respect for patient confidentiality and medical privacy Experience in healthcare administration, medical records, telemedicine, insurance, disability documentation, or patient coordination is preferred but not required. Training will be provided. We are building a long-term team and want individuals who are dependable, collaborative, and interested in growing with the organization. We provide training, written procedures, and ongoing support. Strong performance, reliability, initiative, and attention to detail are recognized and rewarded. As the organization grows, there may be opportunities to take on additional responsibilities in patient coordination, team training, quality control, medical documentation processing, and administrative leadership. This is an important patient-facing position. Your work will directly affect the patient experience and help physicians complete online disability evaluations efficiently and accurately
