Tour & Events Coordinator ** For the right person, this role is expected to grow into managing all touring administration for a national comedy event tour.** About the Role I'm an Australian comedian currently touring my live comedy shows throughout Australia. I'm looking for an organised, proactive and reliable person to help build and coordinate my regional touring schedule. Initially, the role will focus on venue research and outreach. The successful applicant will follow a system to help identify suitable venues, contact venue managers, gather information and build a comprehensive national venue database. If successful, the role will expand into managing many aspects of the tour setup and administration process. This is an exciting opportunity for someone who enjoys events, live entertainment, project coordination and building systems. Initial Responsibilities Venue Research Research suitable venues across regional Australia, including: • Clubs • RSLs • Bowling Clubs • Golf Clubs • Taverns • Hotels • Function Centres • Community Venues I have a proposed list of venues to contact, but you might find other suitable ones. Record information in a venue database, including: • Venue name • Capacity • Theatre-style capacity • Contact details • Website • Hire fees • Venue facilities • Stage • Some other information Venue Outreach Contact venues via: • Email • Phone Gather information including: • Venue suitability • Capacity • Availability • Pricing • Marketing support available Maintain records of all conversations and follow-up actions. Venue Relationship Management Liaise with venue managers regarding: • Capacity • Seating layouts • Function room suitability • Promotional opportunities • Email marketing support • Social media promotion • Posters and venue assets Future Responsibilities (For the Right Candidate) As the role develops, responsibilities may expand to include: Event Setup • Humanitix event creation/ticketing set up • Set up Facebook events • Update webpage with new events and delete old ones • Maintain tour information • Answer emails from proposed buyers who have questions about their order Marketing Administration • Update Canva templates • Export venue-specific posters • Send promotional assets to venues • Coordinate marketing timelines Tour Coordination • Venue onboarding • Event administration • Tracking ticket sales • Maintaining touring databases • General project coordination Skills & Experience Ideal candidates will have experience in one or more of the following: • Event coordination • Event management • Touring events • Marketing coordination • Project coordination • Virtual assistance • Customer service • Venue liaison Experience with any of the following is highly desirable: • Humanitix • Facebook Events • Canva • Meta ads • Showit websites What I'm Looking For • Highly organised • Excellent written and spoken English • Comfortable making phone calls and upbeat and positive phone manner • Strong attention to detail • Excellent initiative • Reliable follow-through • Able to work independently • Comfortable working with systems and checklists • Friendly and professional communication style Most importantly, I'm looking for someone who enjoys helping bring live events to life and wants to grow with the business long-term. Selection Process Shortlisted applicants will be invited to complete a paid trial project. The trial will involve researching and compiling a venue database for a small regional comedy tour, including venue details, capacities, contact information and recommendations. The trial will be paid at a fixed project rate and is designed to help both of us determine whether we're a good fit for a longer-term working relationship. Successful applicants may be offered ongoing work managing venue sourcing, tour administration, ticketing setup, Facebook events, website updates and other aspects of national comedy tour coordination.
