The Role: The Virtual Administrative Assistant is the friendly, energetic voice behind the screen — the person prospective and current members hear from when they reach out, follow up after a trial, or need help managing their account. Working remotely, you'll keep our pipeline warm, our schedule full, and our members feeling cared for, all while bringing the bold, fun, fierce Vertica energy to every text and call. If you can "smile through the phone" and make people feel like they belong before they ever set foot in the studio, this role is for you. Responsibilities: Follow up with new and existing leads by text and phone, nurturing them toward booking and membership Answer prospective and current member questions promptly, accurately, and in Vertica's brand voice Book, confirm, and reschedule appointments and classes Manage past-due accounts, account holds, and cancellation requests with empathy and professionalism Maintain accurate, up-to-date records across two CRM/booking platforms Handle member personal, scheduling, payment, and account information securely and discreetly Handle additional member-facing and administrative tasks as needed to support studio operations Required Qualifications: Previous experience in a similar role (virtual assistant, sales/member services, front desk, inside sales, or customer support) Fluent English, both written and spoken, with a warm, clear, professional phone and texting presence Energetic, charismatic, and able to bring positive, "smile-on-your-face" energy to every interaction Hands-on experience using Wellness Living and/or Go High Level Able to handle sensitive member and payment information securely and responsibly Comfortable making outbound calls and sending texts to leads and members A reliable personal computer/smartphone and a stable, high-speed internet connection Dependable availability during Mountain Time hours, with a quiet, professional environment for calls Strong organization, follow-through, and attention to detail across multiple systems Preferred Qualifications: Experience in a fitness, wellness, boutique studio, or membership-based business Background in sales or consultative, needs-based follow-up Familiarity with CRM, booking, or scheduling software Experience handling billing, collections, or account-retention conversations Comfort working independently and across time zones Compensation & Benefits: Competitive contractor rate, paid hourly or per agreed structure Part-time hours scheduled around the contractor's availability and the studio's coverage needs Paid on an agreed invoicing/payment schedule This role involves access to sensitive member information, including personal, scheduling, payment, and account details. The contractor is required to handle all such information securely and confidentially — accessing it only through Vertica-approved systems, never storing or copying it to personal files or devices beyond what is necessary to perform the work, using strong passwords and secure connections, and following Vertica's data-handling practices at all times. Either party may end the engagement at any time in accordance with the terms of the contractor agreement. Nothing in this posting creates an employment relationship. The engagement begins with a 90-day introductory review period, during which performance, reliability, culture fit, and role alignment will be evaluated. This role is performed remotely and requires the ability to conduct extended phone and text conversations, work efficiently across multiple software systems for sustained periods, and maintain a quiet, professional environment suitable for member-facing calls. The contractor is required to protect and maintain the confidentiality of Vertica Fitness's proprietary curriculum, business systems, client information, and internal operational materials, both during and after the engagement. As an independent contractor, you provide your own equipment and are responsible for your own taxes and any applicable local registrations or insurance.
