Virtual Assistant (30 hrs/week) – Long Term About the Role AJE Networks LLC is hiring a high performing Virtual Assistant to support daily operations in the telecom, AV, IT, and low voltage contracting industry. This is a long term, stable position working closely with the CEO on proposals, project coordination, dispatching, invoicing, and administrative tasks. We are looking for someone who is experienced, reliable, detail oriented, and eager to learn. If you have a strong work ethic and want to grow with a company, this role is for you. Key Responsibilities RFP & Proposal Support • Assist in preparing RFP responses, proposals, and bid submissions • Review drawings, specifications, and bid documents • Track deadlines, addenda, and submission requirements Project & Operations Support • Dispatch technicians and manage schedules • Attend virtual project meetings and represent the company • Take meeting minutes and follow up on action items • Track project deliverables and documentation Administrative & Executive Support • Manage email communication and draft professional correspondence • Prepare invoices, send reminders, and follow up on payments • Maintain organized digital files and records • Perform clerical tasks needed for daily operations • Assist the CEO with scheduling, research, and task management Client & Vendor Communication • Communicate with clients, GCs, vendors, and subcontractors • Follow up on open items and documentation • Represent the company professionally at all times Required Skills & Qualifications • Proven experience as a Virtual Assistant (minimum 1–2 years) • Knowledge of RFPs, bids, and proposal preparation • Strong English communication skills • Excellent organizational and time management abilities • Tech savvy and quick to learn new tools • High attention to detail • Ability to work independently with minimal supervision Preferred Skills (Not Required) • Familiarity with telecom, AV, IT, low voltage, or construction industries • Experience with Division 27/28 projects • Ability to read drawings/specifications • Experience with invoicing systems or project management tools Personal Qualities We Value • Hard working and dependable • Honest and trustworthy • Adaptable and willing to learn • Positive, can do attitude • Team player • Proactive and resourceful How to Apply Please submit: • Your resume • Please provide responses to the following questions briefly: 1.
