Summary

The Virtual Assistant (VA) will support an electrical construction company with administrative, coordination, and project‑support tasks. The goal is to improve workflow efficiency, reduce administrative workload, and enhance communication between field teams, clients, vendors, and project stakeholders. Prepare, edit, and organize project documents (RFIs, submittals, change orders, as‑builts). Maintain digital filing systems for drawings, permits, and jobsite documentation. Estimating & Pre‑Construction Assistance Support estimators with material takeoffs, bid preparation, and proposal formatting. Gather vendor quotes and maintain pricing databases. Assist with bid calendar management and submission deadlines. Scheduling & Coordination Manage calendars for project managers, field supervisors, and crews. Coordinate inspections, deliveries, and subcontractor schedules. Track project milestones and send reminders for critical deadlines. Communication & Client Support Handle inbound calls, emails, and follow‑ups with clients, vendors, and inspectors. Prepare meeting agendas, notes, and follow‑up action lists. Maintain consistent communication between office and field teams. Procurement & Vendor Management Create purchase orders and track material deliveries. Communicate with suppliers regarding availability, pricing, and lead times. Maintain inventory and equipment tracking spreadsheets. Project Support Assist with updating drawings, markups, and redlines (if familiar with AutoCAD or similar tools). Track change orders, labor hours, and job costing data. Support safety documentation and OSHA compliance logs. 🧰 Preferred Skills & Tools Knowledge of electrical construction terminology and workflow. Experience with tools such as: AutoCAD, Bluebeam, Revit (bonus) Procore, Buildertrend, PlanGrid, Fieldwire Microsoft Office / Google Workspace CRM or scheduling software Strong communication and organizational skills. Ability to work independently and manage multiple deadlines. Work Hours & Expectations Remote position with flexible hours (specify your preferred schedule). Must be responsive during agreed‑upon working hours. Confidentiality and accuracy are essential.
