Summary

We are a fast-moving team running two businesses — a digital marketing agency (Eos Marketing, Surrey BC) and a new car detailing shop opening this summer in Richmond BC. We need a sharp, reliable VA who can handle admin, numbers, and daily operations across both without being micromanaged. This is not a task-by-task role. You will own systems. Eos Marketing — what you will handle: Track incoming leads, inquiries, and new client activity — maintain a running lead list with status, follow-up dates, and notes Build and update call lists for outreach — organize by priority, industry, and location Track client projects — who is onboarded, what stage each project is at, what is outstanding Monitor invoices — what has been sent, what has been paid, what is overdue Prepare daily or weekly summaries — revenue in, leads in, jobs completed, outstanding tasks Handle general admin — scheduling, follow-up emails, organizing files, keeping the operation clean Richmond Car Wash — what you will handle: Track daily numbers — cars in, revenue per day, which packages are selling, daily totals vs targets Monitor money in and out — supplies, labour, expenses vs income Maintain booking records and customer tracking — who booked, what service, how many grand opening slots remain Weekly report — revenue, expenses, profit, cars detailed, average ticket, trend vs previous week General operational admin as the business grows Who we are looking for: Extremely organized — you build systems, not just complete tasks Comfortable with numbers — basic bookkeeping, tracking revenue, spotting trends Strong written English — you will be writing summaries and communicating with clients Self-starter — when you see something that needs to be done, you do it without being asked Proficient in Google Sheets or Excel, Google Drive, and email Available during Pacific Standard Time business hours or significant overlap Experience supporting a small business or startup is a strong plus To apply — answer these three questions in your proposal: Describe a time you built or improved an admin or tracking system for a business.
