Virtual Assistant - Admin Role with Real Estate

Customer Relations & Administrative Coordinator This role is the front line of our company. You will be one of the first people our current and potential customers interact with. You will help manage customer communication, utility accounts, accounting reports, task management, and daily administrative operations. You will work closely with the Owner and Operations Manager each day. This is an excellent entry-level opportunity for someone looking to grow with a fast-paced real estate and construction company. Responsibilities * Manage company phone systems, including responding to text messages, calls, and voicemails. * Manage company email accounts and ensure all communication is directed to the appropriate team member. * Review weekly accounting reports and follow up on overdue payments when necessary. * Coordinate with the legal team on accounts that become significantly past due. * Charge customer ledgers for reimbursements and recurring expenses. * Keep company Google Sheets updated daily and communicate with team members to ensure information is accurate. * Maintain and update the task management system, ensuring all tasks are completed on schedule. * Assist with utility service connections, disconnections, and payments. * Use AI tools to improve communication, solve problems, streamline processes, and increase efficiency. * Ensure all communication is professional, accurate, and customer-focused. What We're Looking For * Fluent in English (written and spoken). * Positive attitude with strong customer service skills. * Organized and system-oriented with a desire to improve processes. * Self-motivated and accountable. * Experience with task management software, WhatsApp, Google Workspace, and Google Sheets is required. * Experience using AI tools such as ChatGPT, Claude, or similar software to improve communication, solve problems, and increase productivity. * Strong attention to detail and ability to follow through on tasks. Work Schedule Monday – Friday 8:30 AM – 3:30 PM CST Growth Opportunity This position offers significant growth potential for the right candidate.
