About Us We are a growing civil engineering and construction‑adjacent business looking for a high‑performing Virtual Assistant / Business Administrator who can grow into a Business Management & Development role. This is not a simple task‑taker position — we are looking for a go‑getter who takes initiative, moves quickly, and understands how engineering and construction firms operate. If you thrive in fast‑paced environments, understand civil engineering workflows, and enjoy helping a business scale, this role is for you. What You’ll Be Doing You will support daily operations while also helping improve systems and grow the business. Responsibilities may include: Business Administration & Operations Managing schedules, emails, documents, and internal workflows Creating and organizing SOPs, templates, and systems Tracking tasks, deadlines, and deliverables Supporting invoices, proposals, contracts, and project documentation Civil Engineering / Construction Support Assisting with proposals, RFQs, SOQs, and submittals Understanding project phases (planning, design, permitting, construction) Coordinating with consultants, contractors, and clients Managing project folders, drawings, and correspondence Business Management & Development Identifying process improvements and efficiency opportunities Supporting marketing, outreach, and business development efforts Researching leads, agencies, municipalities, and potential clients Helping implement tools for project management, CRM, or growth tracking Who We’re Looking For Required Experience working with civil engineering, construction, or AEC firms Strong understanding of construction processes, terminology, and workflows Proactive, self‑directed, and solution‑oriented mindset Ability to work quickly and efficiently without constant oversight Excellent written and verbal communication skills Highly organized with strong attention to detail Strong Plus Experience with proposal coordination or business development Familiarity with tools such as ClickUp, Asana, Monday, Procore, Bluebeam, or similar Background in operations management or scaling small businesses U.S. standards familiarity (municipal work, permitting, DOTs, etc.) Work Style & Expectations Fast turnaround times — we move quickly Clear communication and status updates Willingness to take initiative and suggest improvements Open to evolving responsibilities as the business grows This role has long‑term potential for the right person who proves reliable, sharp, and invested in helping the business succeed.
