About Us We're a boutique property management company in the San Francisco Bay Area (Tri-Valley, South Bay, Peninsula, East Bay) focused on residential transactions and property management. We're looking for a driven VA to help us build our property management portfolio by connecting with landlords who need professional management. The Role You'll be our front-line outreach machine — pulling targeted lists, making cold calls, and booking qualified appointments for me. Starting with landlord outreach for property management, with expansion into buyer/seller prospecting as we scale. What You'll Do • List Building: Use RedX (and similar tools) to pull targeted lists of property owners — absentee owners, out-of-state landlords, expired rental listings, FSBO rentals, and multi-property holders in our target markets • Cold Calling: Use a power dialer to work through lists daily, following proven scripts to identify landlords who are self-managing, unhappy with their current PM company, or overwhelmed • Qualify Leads: Identify pain points — maintenance headaches, tenant issues, vacancy, distance from property, time constraints — and determine if they're a fit for our PM services • Set Appointments: Book qualified appointments directly on the agent's calendar. A qualified appointment = the landlord has expressed interest in learning about professional management and has agreed to a specific date/time • CRM Updates: Log every call, note disposition, and update our CRM (Follow Up Boss) so no lead falls through the cracks • Follow-Up Sequences: Re-engage warm leads who weren't ready on the first call. Drip on "not right now" leads on a set cadence Ideal Candidate • Experience with cold calling in real estate (property management experience is a plus, not required) • Comfortable with rejection — you understand it's a numbers game • Familiar with or able to quickly learn: RedX, power dialers (Mojo, PhoneBurner, or similar), and CRM systems • Strong English communication skills (phone work is the job) • Self-motivated — you'll have daily/weekly call targets and are expected to hit them • Organized — you track your numbers and can report on calls made, contacts reached, appointments set • Available during US Pacific Time business hours (or overlap of at least 4-5 hours) KPIs We'll Track • Calls made per day • Contacts reached (live conversations) • Appointments set per week • Appointment show rate • Conversion to signed management agreement (long-term) Compensation • Hourly base (competitive for VA market) • Bonus per signed property management agreement Phase 2 (Future Expansion) Once the PM calling system is dialed in, we'll expand your role to include: • Expired/FSBO listing prospecting (seller leads) • Circle prospecting around new listings • Buyer lead follow-up and appointment setting
