Overview: We're looking for a fast-moving, detail-oriented Virtual Assistant to support day-to-day marketing operations and executive-level administrative work. This role combines client-facing marketing tasks (lead call review, reporting, citations) with proactive inbox and calendar management. The ideal candidate can juggle multiple priorities at once, use good judgment about what needs attention versus what can be delegated, and keep things moving without close supervision. As the legal marketing industry evolves with AI and new search technologies, we’re committed to staying ahead of the curve—and helping our clients do the same. Primary Responsibilities Inbox & Task Management Monitor and manage email inbox(es), flagging priority items and responding to or drafting replies where appropriate. Organize incoming requests into clear, trackable tasks with deadlines. Create and maintain follow-up dates/reminders so nothing falls through the cracks. Identify items that don't require direct attention and route or assign them to the correct team member. Keep a fast, accurate pace across multiple concurrent items and shifting priorities. LSA (Local Services Ads) Call Management Listen to LSA calls; rate each as satisfied or unsatisfied. Add detailed notes explaining why a call was unsatisfactory. Note the (attorneys) practice area for each call and whether it aligned with the client's LSA targeting. Source and add photos to LSA accounts, pulled from the client's website and formatted using Canva templates for correct sizing and resolution. Client Reporting Summarize unsatisfied-call trends for clients and suggest concrete improvements. Meeting Follow-Up (Otter.ai) Review meeting transcripts regularly. Summarize key tasks and decisions. Log actionable items in Basecamp, organized by client. Citations Management (BrightLocal) Create and manage client citations. Review notes and pending actions on a regular cadence and keep them current. Scheduling & Administrative Support Monitor upcoming meetings and ensure materials are prepared in advance. Provide general executive-assistant-level support: calendar coordination, prioritization, and proactive communication. Required Skills & Experience Executive assistant–level experience supporting a busy principal or team. General understanding of marketing concepts and terminology. Strong working knowledge of Outlook and Google Workspace. Experience with Basecamp (or comparable project management tool). Strong listening and comprehension skills. High attention to detail. Proactive, clear communication style — flags issues before they become problems. Able to work independently, prioritize effectively, and maintain a fast pace across multiple tasks. Available 9:00 AM–5:00 PM EST. Preferred Skills (Nice to Have) Experience with SE Rank. Experience with Meta Business Suite. Experience with WordPress. Familiarity with Otter.ai and BrightLocal. Experience with Canva.
