# Part-Time Virtual Assistant (Administration & Accounts) **Location:** Remote **Hours:** 2–4 hours per day, Monday to Friday (with some overlap during UK business hours) ## About the Role Chase Electrical is a UK electrical contractor providing electrical compliance, maintenance and remedial works across London. We are looking for a reliable, organised and detail-oriented Virtual Assistant to support our business with day-to-day administration. This is a part-time remote role focused on keeping our jobs, diary, invoices and payments organised. ## Responsibilities ### Job Scheduling & Administration * Monitor our email inbox and WhatsApp Business during your working hours. * Liaise with tenants via email, WhatsApp and telephone to arrange appointments. * Coordinate suitable appointment times between tenants and our engineers. * Create new jobs in Tradify. * Schedule and update jobs within the Tradify diary. * Update customer and property information. * Keep all job records accurate and organised. * Upload documents and completed certificates where required. ### Quotes & Invoicing * Prepare and send quotations using Tradify. * Issue invoices once works are complete. * Follow up on outstanding quotations where appropriate. * Ensure customer details are correct before issuing documents. ### Credit Control * Cross-reference incoming payments against outstanding invoices. * Record payments in Tradify. * Chase overdue invoices by email, WhatsApp and telephone. * Send payment reminders and customer statements. * Report outstanding debts and payment issues. ### General Administration * Maintain organised customer records. * Support general administrative tasks as required. * Escalate urgent issues or important customer enquiries. ## Requirements * Excellent written and spoken English. * Confident speaking with tenants and customers over the telephone. * Strong organisational skills and attention to detail. * Previous administration or bookkeeping experience. * Comfortable learning and using cloud-based software, including Tradify. * Reliable internet connection and computer. ## Preferred Experience * Previous experience as a Virtual Assistant or Administrative Assistant. * Experience supporting UK businesses. * Experience using Tradify or similar job management software. ## Daily Deliverables At the end of each shift, provide a summary including: * Jobs booked and scheduled. * Tenant appointments arranged. * Quotes sent. * Invoices issued. * Payments received and reconciled. * Outstanding invoices requiring follow-up. * Any issues requiring management attention. This is a long-term part-time position with the opportunity to grow alongside the business as Chase Electrical continues to expand.
